Job Description
We are seeking a highly organized, proactive, and resourceful Executive Assistant to support our leadership team. This role serves as a trusted strategic partner, ensuring executives can operate efficiently while managing competing priorities in a fast-paced environment. The ideal candidate excels at anticipating needs, handling confidential information with discretion, communicating professionally with stakeholders, and driving operational excellence through strong organization, technology, and problem-solving skills.
This is a hybrid position requiring at least three onsite days per week in our West Valley office (Monday-Thursday), with flexibility as business needs evolve.
How you'll make an impact:
  • Provide high-level administrative support to multiple executives, including complex calendar management, travel coordination, expense reporting, and scheduling.
  • Screen, prioritize, and manage incoming communications, including emails, phone calls, and correspondence.
  • Draft, edit, and proofread executive communications, reports, presentations, meeting materials, and other business documents.
  • Develop polished, executive-level PowerPoint presentations, board decks, and visual materials that clearly communicate business strategies and results.
  • Organize and coordinate meetings, leadership offsites, team events, and conferences, including preparing agendas, capturing meeting notes, and tracking action items.
  • Serve as a liaison between executives and internal teams, external partners, and clients while fostering strong working relationships.
  • Manage special projects, conduct research, and prepare materials to support executive decision-making.
  • Leverage AI-powered productivity tools (such as Microsoft Copilot, ChatGPT, Gemini, or similar technologies) to streamline administrative tasks, improve workflows, summarize information, draft communications, and increase operational efficiency.
  • Monitor deadlines, proactively identify scheduling conflicts or risks, and ensure timely completion of key deliverables.
  • Maintain office systems and business tools, including Outlook, PowerPoint, Expensify, and other productivity platforms.
  • Handle highly confidential and sensitive information with professionalism, sound judgment, and discretion.
What you'll need to succeed:
  • Must be willing to work onsite 3-4 days per week.
  • Bachelor's degree or equivalent professional experience.
  • 3-5 years of experience supporting C-level executives or senior leadership.
  • 3-5 years of experience planning and coordinating executive meetings, events, or conferences.
  • Exceptional organizational, prioritization, and time-management skills.
  • Excellent verbal and written communication skills with exceptional attention to detail.
  • Advanced proficiency with Microsoft Office Suite, Google Workspace, Outlook, PowerPoint, Excel, and other productivity tools.
  • Strong experience creating polished executive presentations, leadership communications, and presentation materials.
  • Experience using AI-powered workplace tools to improve efficiency, automate repetitive tasks, organize information, and enhance day-to-day productivity.
  • Experience with travel booking and expense management platforms; Expensify experience is strongly preferred.
  • Ability to manage multiple priorities, adapt to changing business needs, and remain composed under pressure.
  • Strong critical thinking, problem-solving, and decision-making skills.
  • Ability to anticipate executive needs and proactively resolve issues before they arise.
  • High level of professionalism, integrity, discretion, and sound judgment when handling confidential information.
