We partner with HR teams and HR software companies to design and deliver custom integrations that connect HR, payroll, and business systems, reduce manual work, improve data accuracy, and help people's operations run more efficiently.


The Role

We are hiring a Bilingual (EN/FR) Executive Assistant to support our VP of Sales and our VP of Operations. This is a versatile, high-impact role that works closely with C-level leadership and cross-functional teams to bring structure, visibility, and follow-through to complex initiatives. The scope spans process optimization, operational coordination, data reporting, back-office improvements, and international expansion support. No two weeks will look the same. What You'll Do

Executive & Strategic Operations Support

  • Translate high-level direction into structured action plans, follow-ups, and execution tracking.
  • Participate in sales meetings, action items, and follow-ups.
  • Support leadership in preparing materials, reporting, and structured presentations when needed.
  • Manage emails, calendars, meeting preparation, and daily briefings.

Process Management & Optimization

  • Identify inefficiencies across administrative and inter-departmental workflows.
  • Lead practical improvements to processes between Sales, Accounting, AR, and Customer Success.
  • Contribute to back-office optimization initiatives, including exploring AI-enabled process enhancements.

Data, Reporting & Visibility

  • Maintain and improve operational dashboards and performance reporting.
  • Ensure data accuracy and integrity across CRM and operational systems.
  • Provide structured insights to support decision-making.

Cross-Functional & Partner Collaboration

  • Collaborate with external partners on operational coordination for vendor forms, W-9s, and purchase orders
  • Act as a liaison between customer, sales representatives and executives
  • Support AR oversight and coordination with Accounting.
  • Customer Onboarding


What You Bring

Must Have

  • BA/BS Degree
  • 2-5 years of experience in Business Operations, Operations, Sales Operations, or a similar role.
  • Full professional fluency in English and French is required; comfort in conducting meetings and preparing written materials in both languages is essential.
  • Experience in a SaaS or B2B environment preferred.
  • Comfort working with CRM systems and operational tools (Salesforce experience preferred).
  • Comfort working in ambiguity and managing shifting priorities.
  • Ability to meet tight deadlines and adapt to changing timelines.
  • Flexibility in working hours when collaboration or deadlines require it, including occasional early mornings or evenings to align with European time zones.

Nice to Have

  • Experience working closely with executive leadership.
  • Experience optimizing finance or AR-related workflows.
  • Additional European language skills (e.g., Spanish, German, or Dutch) are considered an asset.
