Role description:

As a Proposal Coordinator, you will work closely with proposal managers to prepare responses to Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Qualifications (RFQs).

Key Responsibilities

Administrative Support

  • Review and suggest improvements to sales documents (proposals, letters, presentations, etc.)

  • Assemble and format documents for proposals and tenders

  • Maintain the proposal team's intranet (Dynamics O365 and SharePoint)

  • Organize and update electronic and paper filing systems for sales documentation and templates

Proposal Coordination

  • Download and translate proposal documents as needed using translation tools

  • Assist in drafting responses tailored to each market (summary, language, requirements)

  • Prepare corporate and administrative sections of proposals

  • Conduct detailed research to support proposal content

  • Manage certain RFI and RFQ responses with guidance from proposal managers

  • Prepare proposals for existing clients using pre-defined templates

  • Occasionally draft maintenance renewal letters

Qualifications
  • College or university degree in a relevant field

  • 3-5 years of related experience

  • Strong planning, organizational, and attention-to-detail skills

  • Ability to manage multiple tasks under tight deadlines

  • Customer-focused mindset (internal and external)

  • Excellent writing skills in French and English (regular English writing required)

  • High level of autonomy and initiative

  • Proficiency in Microsoft Office

  • Familiarity with proposal tools such as Responsive.io or Loopio (asset)

  • Fluency in French and English; additional languages are an asset
