The Marketing Manager – Events & Programming is responsible for leading the planning, coordination, and execution of a comprehensive events strategy designed to drive traffic, elevate the guest experience, strengthen community engagement, and support the overall brand presence of the property. This role is highly hands-on and execution-focused, with ownership of the full event lifecycle from concept development and planning through on-site management, post-event reporting, and continuous improvement.
This position oversees a robust calendar of events, including signature property events, seasonal programming, retailer and brand activations, pop-ups, sponsorship-driven experiences, community events, charitable initiatives, VIP moments, entertainment, and family-friendly programming. They partner closely with internal teams, tenants, vendors, sponsors, community organizations, security, operations, and external production partners to ensure every event is thoughtfully planned, brand-right, operationally sound, and flawlessly executed.
The ideal candidate is an experienced event professional who is highly organized, solutions-oriented, creative, and calm under pressure. This individual should be comfortable managing multiple events at once, leading cross-functional coordination, working evenings and weekends as needed, and creating memorable experiences that reflect the brand, engage guests, and deliver measurable results.
What You Do:
(Duties/Responsibilities)
Event Strategy, Calendar Planning & Programming
• Develop and manage a comprehensive annual events calendar that supports traffic-driving initiatives, brand visibility, guest engagement, tenant participation, and seasonal priorities
• Lead the planning and execution of signature events, recurring programming, holiday and seasonal activations, family programming, entertainment, community events, retailer-focused events, and experiential brand moments
• Identify opportunities to enhance the event calendar with new concepts, partnerships, sponsorships, and programming that align with the property’s brand and audience
• Build event plans that clearly define objectives, target audience, guest experience, budget, staffing, timelines, production needs, marketing support, and success metrics
• Partner with leadership to prioritize event concepts based on business goals, guest impact, budget, operational feasibility, and expected return
• Maintain a forward-looking planning process to ensure events are developed with adequate lead time, strong internal alignment, and clear execution plans
• Research local market trends, competitive events, community opportunities, and guest preferences to keep programming fresh, relevant, and differentiated
Event Production & On-Site Execution
• Own the full event production process, including timelines, production schedules, run-of-show documents, vendor load-in/load-out plans, floor plans, staffing plans, signage needs, entertainment, décor, permitting, supplies, and contingency plans
• Serve as the primary on-site lead during events, ensuring all event elements are executed smoothly, safely, and in alignment with brand standards
• Coordinate event setup, vendor arrivals, guest flow, crowd management, security needs, operational support, weather plans, break-down, and post-event follow-up
• Anticipate and resolve issues in real time while maintaining a polished and professional guest-facing presence
• Ensure all event spaces are properly prepared, branded, clean, operationally ready, and restored following each activation
• Manage event-day communication with vendors, internal teams, tenants, sponsors, performers, ambassadors, and support staff
• Create and maintain event checklists, production templates, vendor briefs, internal communication plans, and post-event documentation to ensure consistency and repeatable execution
Vendor, Partner & Sponsor Management
• Source, evaluate, onboard, and manage event vendors, including production companies, rental companies, florists, décor partners, entertainment, photographers, videographers, staffing agencies, fabricators, food and beverage partners, and specialty providers
• Request proposals, compare pricing, negotiate services, manage vendor deliverables, and ensure all partners meet quality, safety, insurance, and brand expectations
• Build and maintain strong relationships with community partners, sponsors, nonprofit organizations, cultural institutions, local businesses, and brand partners to enhance event programming
• Identify sponsorship and partnership opportunities that add value to events while supporting brand positioning and guest experience
• Coordinate sponsor fulfillment, partner participation, branded moments, event deliverables, approvals, recaps, and relationship follow-up
• Maintain organized vendor records, partner contact lists, agreements, invoices, insurance documentation, and event-related files
Tenant, Retailer & Internal Team Coordination
• Partner with tenants and retailers to encourage event participation, promotional tie-ins, product features, sampling opportunities, offers, activations, and collaborative programming
• Coordinate tenant involvement in grand openings, anniversary events, product launches, seasonal moments, VIP experiences, and property-wide programming
• Work cross-functionally with Marketing, Operations, Security, Guest Services, Leasing, Sponsorship, Food and Beverage, and Property Management to ensure all event details are aligned and clearly communicated
• Lead internal event planning meetings, distribute event briefs, confirm responsibilities, track action items, and ensure all stakeholders understand timelines and expectations
• Serve as the central point of coordination for event-related questions, updates, approvals, and day-of communication
• Ensure events are planned with guest safety, operational requirements, tenant needs, traffic flow, and property standards in mind
Event Marketing, Creative Support & Guest Communication
• Partner with the marketing and creative teams to ensure every event is supported with clear messaging, promotional timelines, event listings, signage, collateral, digital assets, social media support, photography, video, and on-site branding
• Provide event details, copy points, timelines, creative direction, and logistical information needed to promote events accurately across relevant channels
• Coordinate pre-event, live-event, and post-event content opportunities, ensuring key moments are captured and shared in a timely manner
• Review event-facing materials for accuracy, including event descriptions, schedules, signage, maps, registration details, guest communications, and partner acknowledgments
• Ensure the guest experience is cohesive from initial promotion through arrival, participation, and post-event follow-up
• Support RSVP, registration, check-in, guest list management, VIP coordination, and attendee communications when applicable
Event Budgeting, Contracts & Administration
• Develop, track, and manage event budgets, ensuring events are executed within approved financial parameters
• Prepare budget estimates, reconcile actuals, track invoices, process vendor payments, and monitor expenses against forecast
• Coordinate contracts, proposals, purchase orders, certificates of insurance, permits, approvals, and required documentation for all event-related vendors and partners
• Maintain organized event folders, planning documents, timelines, vendor agreements, invoices, recaps, photos, contact lists, and historical performance information
• Identify cost-saving opportunities without compromising guest experience, safety, brand standards, or event quality
• Support annual planning and forecasting by providing budget inputs, historical cost data, vendor recommendations, and event performance learnings
Event Reporting, Measurement & Continuous Improvement
• Track and report on event performance, including attendance, guest engagement, tenant participation, sponsor involvement, budget performance, operational learnings, content captured, and overall event impact
• Prepare detailed post-event recaps that summarize objectives, execution, results, photos, key wins, challenges, recommendations, and opportunities for future improvement
• Gather feedback from internal stakeholders, tenants, vendors, partners, and guests to identify ways to strengthen future events
• Maintain a historical event performance library to support planning, budgeting, vendor selection, and programming decisions
• Use event results and feedback to refine processes, improve guest experience, strengthen operational execution, and elevate the quality of future programming

• 3+ years of experience planning and executing events, experiential programming, activations, retail events, or large-scale guest-facing experiences
