Job description

We are currently seeking a dynamic and experienced Practice Manager to lead our Camp Hill, PA location. At Kolmac Integrated Behavioral Health, the Practice Manager is more than just an administrator-they are a strategic partner, a team motivator, and a change champion. This role plays a critical part in aligning daily medical office operations with Kolmac's broader mission to help individuals and families heal through evidence-based addiction and behavioral health care. The Practice Manager works collaboratively with clinical leaders and the Patient Access Director to drive results, promote superior customer service, and create a high-performing, patient-centered environment.

Responsibilities

Operational Oversight & Practice Efficiency
  • Provide direct oversight and leadership of daily clinic operations at our new Camp Hill, PA location

  • Maintain a clean, professional, and welcoming environment at both sites.

  • Establish and maintain appropriate levels of office/medical supplies and clinical equipment.

  • Ensure all clinic workflows, from front desk to back-end processes, operate efficiently and in alignment with Kolmac standards.

  • Adjust operations proactively to maintain peak performance.

Provider & Patient Access
  • Coordinate and manage provider schedules; support onboarding of new providers and modifications to existing schedules.

  • Monitor appointment availability and ensure same-day access whenever possible.

  • Evaluate staffing and scheduling practices to meet patient demand and financial goals.

  • Prepare clinics for provider transitions (e.g., departures or additions) to ensure minimal disruption.

Patient Experience & Service Recovery
  • Serve as a primary point of contact for patient concerns, ensuring timely resolution and satisfaction.

  • Engage in service recovery and continuous improvement activities.

  • Regularly review operational reports (e.g., patient flow, no-show rates) and implement data-informed improvements.

Staff Supervision & Development
  • Supervise all non-provider staff across both sites; handle training, onboarding, performance management, and payroll.

  • Maintain and coordinate staffing schedules to support patient care and clinic efficiency.

  • Identify and support additional training needs in collaboration with clinical leadership.

  • Encourage team engagement, development, and a culture of accountability.

  • Lead hiring, promotions, and terminations in alignment with organizational policy.

Compliance & Facility Readiness
  • Ensure compliance with environmental, health, safety, and regulatory standards.

  • Monitor adherence to Kolmac's Code of Conduct, internal policies, and applicable laws.

  • Work closely with Compliance and Legal to report and manage risk, privacy, or regulatory concerns.

  • Educate staff on compliance standards and emergency preparedness procedures.

Financial Performance & Revenue Cycle Management
  • Oversee collection of copays, deductibles, and outstanding balances.

  • Monitor and report on cash collections, payer mix, and accounts payable activities.

  • Ensure proper documentation, financial tracking, and reporting on daily/weekly/monthly performance.

  • Contribute to overall revenue cycle effectiveness and collaborate with centralized billing teams.

Leadership & Communication
  • Lead regular team meetings to share goals, updates, and changes to practice operations or policies.

  • Serve as a visible, supportive leader who fosters strong provider-staff relationships and a culture of collaboration.

Other Duties
  • Provide backup to staff during peak times or absences.

  • Perform other duties as assigned to ensure clinic continuity and patient care.

The Logistics

  • Location: Camp Hill, PA
  • Schedule: Monday - Friday, 10:00 a.m. - 6:00 p.m.

Qualifications

  • 4+ years of experience in healthcare office management and direct staff supervision

  • Proven experience in medical office or behavioral health practice management

  • Strong interpersonal and communication skills for effective collaboration with clinicians, staff, and patients

  • Excellent analytical and problem-solving skills

  • Proficiency with healthcare software and administrative systems

  • Effective leadership, motivation, and goal-setting abilities

  • Sound understanding of healthcare finance and best practices

  • Strong organizational and time management skills

  • Bachelor's degree preferred but not required

The starting salary for this position is up to $65,000, with the potential for higher compensation based on factors such as geographic location, relevant experience, licensure, education, and demonstrated skill level.
