Moog Space and Defense Group provides sub-systems and components for every mission critical system on a modern military vehicle. Our heritage is in electrohydraulic and electromechanical actuation systems and now, through acquisitions and internal development of full Turreted Weapon Systems (TWS) solutions.
Our Space and Defense Group is looking for a Program Administrator to join our team in Salt Lake City, Utah. You will have an onsite role and report to the Staff Program Manager. This collaborative working environment offers a 9/80 schedule to include every other Friday off!
You will ensure accuracy in contract order entry and invoicing, while maintaining compliance with all documentation standards. Timely responses to inquiries, proactive communication of order status, and resolution of shipping issues within 48 hours are essential. You will maintain up-to-date dashboards and reports, safeguarding confidential information, and supporting audits with thorough documentation. Professionalism in customer interactions, attention to detail, and commitment to continuous process improvement are necessary for success.
In this role, you will support timely, compliant program execution and financial performance by managing order processing, coordinating logistics, and maintaining accurate program documentation. You will serve as a key liaison across internal teams and customers to ensure smooth operations and adherence to contractual requirements.
Order Processing
  • Enter and maintain contract and sales order data in ERP systems to support accurate, timely fulfillment of program obligations

Financial Transactions
  • Generate invoices and process credit requests and credit memos in accordance with company policies

Logistics Coordination
  • Manage packer requests and resolve shipping issues escalated by internal shipping teams

Customer Engagement
  • Communicate professionally with customers, responding to inquiries and supporting small business needs

Documentation & Records
  • Maintain official program records for audit purposes
  • Prepare contract briefs to support incurred cost submissions

Compliance & Contracts
  • Review bailment agreements and ensure adherence to contractual requirements
  • Utilize compliance matrices to verify contract execution

Cross-Functional Collaboration
  • Partner with internal departments to ensure order fulfillment and resolve operational issues

Warranty & Returns
  • Manage Return Under Review (RUR) and repair warranty processes

Reporting & Analysis
  • Develop and maintain dashboards and weekly reports to track program performance

Contract & Program Knowledge
  • Apply foundational understanding of contracts and program operations to ensure accurate documentation and compliance

To be considered for this role, here's what you'll typically need to bring with you:
  • Bachelor's degree in business or related field with three(3)+ years of experience
  • Experience with ERP/order management systems (SAP, MBS, CCRF preferred)
  • Strong communication, attention to detail, and data accuracy skills
  • Solid business acumen, contract awareness, and analytical/problem-solving ability
  • Ability to manage multiple priorities in a fast-paced environment
  • Customer-focused with strong stakeholder collaboration skills
  • Familiarity with logistics in space/defense industries a plus
