Lighthouse Administrative Office (Onsite Position)

Lighthouse is seeking a Manager of Administrative Operations to oversee the daily operations of our Administrative Office and help create a welcoming, safe, and efficient workplace for everyone who walks through our doors.

In this role, you will lead office operations, supervise reception services, coordinate shared resources and facilities, support executive leadership, and serve as a key point of contact for building operations, safety, security, and administrative services. Every day brings opportunities to make a meaningful impact on the employee and visitor experience while supporting a mission-driven organization dedicated to serving others.

This is a fully onsite position with daily reporting to the Lighthouse office.

What You'll Do

Lead Office Operations

  • Oversee day-to-day office operations, services, supplies, and resources.
  • Ensure a professional, organized, welcoming, and efficient work environment.
  • Coordinate facility vendors, service contracts, maintenance schedules, and office resources.
  • Monitor workspace utilization and support office planning efforts.
  • Maintain office procedures, operational documentation, and resource materials.
  • Identify opportunities for operational improvements and cost efficiencies.

Supervise Reception & Front Desk Services

  • Lead and support the Administrative Office Specialist - Reception.
  • Ensure outstanding customer service for employees, visitors, clients, and community partners.
  • Coordinate reception schedules and coverage plans.
  • Train, coach, and mentor front desk staff.
  • Assist with visitor management and provide direct support as needed.

Manage Shared Spaces & Resources

  • Oversee conference rooms, classrooms, and event spaces.
  • Maintain scheduling processes and resource availability.
  • Coordinate room usage, technology support, supplies, and administrative oversight.
  • Ensure shared spaces remain functional, organized, and ready for use.

Support Safety, Security & Access Administration

  • Manage keys, access cards, and access-control processes.
  • Maintain security logs and documentation.
  • Coordinate safety procedures, emergency responses, and visitor management protocols.
  • Partner with internal teams and external vendors to address operational concerns.

Provide Executive & Administrative Support

  • Support executive leaders and business units with administrative services.
  • Coordinate operational projects and special initiatives.
  • Provide direction and guidance to administrative staff.
  • Ensure administrative practices align with organizational standards and best practices.

What We're Looking For

Qualifications

  • Bachelor's degree in Business Administration, Management, or a related field, or equivalent experience.
  • Minimum of five years of progressive experience in office management, administrative operations, workplace services, facilities administration, or related operational support functions.
  • Prior supervisory or team leadership experience preferred.
  • Strong organizational, planning, and project coordination skills.
  • Excellent communication and relationship-building abilities.
  • Proven ability to manage multiple priorities while maintaining attention to detail.
  • Sound judgment, problem-solving skills, and a commitment to exceptional customer service.

Technical Skills
