Job description

The Manager of Accounting and Finance is responsible for entering and maintaining accurate financial records in QuickBooks and company accounting systems. This position focuses primarily on maintaining accurate financial records and controls while supporting the wider business with management reports and forecasts. This will be a part-time job, averaging 20 hours per week. Work location will be at our NY headquarters, located in Parish, NY.

Qualifications
  1. 2 year degree in accounting or finance, or relevant coursework may be considered based on experience.
  2. Minimum 5 years experience in a corporate accounting role, preferably in a manufacturing environment
  3. Proficiency in QuickBooks. Familiarity with Zoho finance will be preferred.
  4. Experience calculating and recording with "work in process" (WIP) calculations and monthly inventory.
  5. Ability to perform general ledger account reconciliations monthly.
  6. Experience in management reporting, controls, forecasting, cash management, budget development and management.
  7. Experience in implementing a new ERP is strongly preferred as we plan to move from QuickBooks to Zoho.
Primary Duties
  1. Develop and adhere to an annual budget.
  2. Create monthly financial management reports to on site management and roll-up to the Group.
  3. Develop and maintain on-site financial controls.
  4. Lead the transition from QuickBooks to Zoho Books in Q4 2026/Q12027.
  5. Manage, remit and report all relevant taxes.
  6. Support payroll processing and reporting.
  7. Support on-site management with business analytics/KPIs and report monthly.
  8. Provide accounting reports and supporting documentation to management upon request.
  9. Support and back-fill day-to-day finance functions as listed below.
  10. Other duties as may be assigned by the BioSpherix CEO or Group CFO.
Secondary Duties
  1. Lead and support the accounting team.
  2. Enter vendor invoices into QuickBooks accurately and timely.
  3. Input and maintain financial data and records in company accounting systems.
  4. Match invoices to receipts and supporting documentation.
  5. File and organize Accounts Payable records, credit card receipts, and other accounting documents.
  6. Assist with monthly credit card reconciliations by matching receipts to statements.
  7. Reviewing expense reports and submitting to the CEO for review and approval.
  8. Maintain electronic and paper filing systems for accounting records.
  9. Verify that invoices contain the required information before processing.
  10. Create customer sales orders and input into relevant systems.
  11. Complete and submit customer invoices.
  12. Process outgoing shipments and relevant documents for domestic and international shipments.
  13. Scan, upload, and organize accounting documents.
  14. Assist with data cleanup and record maintenance as needed.

Salary/Compensation: $55,000 - $70,000 per year
