Position: Medical Device Operations Specialist

Status: Full-Time

Shift: Mon - Fri; 8am-5pm

Reports to: Distribution Manager

Position Summary

The Medical Device Operations Specialist plays a critical role in ensuring patients receive clean, accurate, and fully prepared cardiac monitoring equipment. This position supports the complete operational lifecycle of medical devices, including inspection, sanitization, inventory management, order fulfillment, shipping, documentation, and quality control. Working in a fast-paced healthcare focused environment, this individual helps ensure providers and patients receive equipment accurately and on time while maintaining the highest standards of quality and regulatory compliance.


Key Responsibilities:

Medical Device Processing

  • Clean, disinfect, inspect, and prepare returned cardiac monitoring devices
  • Verify equipment functionality before redistribution
  • Assemble complete patient monitoring kits
  • Replace damaged accessories and batteries
  • Ensure devices meet quality standards before shipment
  • Follow quality procedures and standard operating procedures.
  • Ensure compliance with FDA and company quality standards.
  • Maintain accurate documentation supporting equipment traceability.
  • Report equipment discrepancies or quality concerns immediately.

Order Fulfillment & Shipping

  • Process physician and customer equipment requests
  • Pick, pack, and ship medical devices using FedEx Ship Manager
  • Prepare shipping documentation
  • Ensure timely and accurate order fulfillment
  • Track outbound and returned equipment

Inventory & Operations

  • Conduct cycle counts and inventory reconciliations
  • Maintain inventory accuracy within internal systems
  • Organize storage locations for operational efficiency
  • Monitor supply levels and report shortages
  • Maintain charging stations and equipment readiness

Data & Documentation

  • Complete data entry accurately
  • Maintain equipment history
  • Update inventory databases
  • Document discrepancies
  • Support audits and quality initiatives

Team Support

  • Assist with process improvements
  • Maintain organized work areas
  • Follow SOPs
  • Perform additional operational duties as assigned


Qualifications

Preferred

  • Experience handling medical devices, electronics, or technical equipment
  • Inventory control or logistics experience
  • Shipping software (FedEx Ship Manager, UPS WorldShip, etc.)
  • ERP or inventory management systems
  • Experience in healthcare, medical device, pharmacy, laboratory, or manufacturing environments
