RESPONSIBILITIES

Community Management

  • Supervision of team members at the direction and in partnership with the General Manager.
  • Receives and responds to incoming calls from homeowners, board members, committee members, and vendors, and addresses their requests at the direction of the General Manager.
  • Processes and distributes incoming and outgoing mail for the office and Associations.
  • Assist in preparing board and committee meeting agendas and execute meeting notice publishing per state law requirements.
  • Assist in creating and publishing board meeting packages, attending board meetings, and taking notes for management action items and/or board meeting minutes.
  • Execute 2 x week compliance inspections from their vehicle, as needed. Document and photograph the compliance issues for compliance notices for homeowner notification.
  • Execute regular follow-up inspections for open violation issues, communicate with homeowners regarding violation notices they receive or report, and maintain meticulous records.
  • Deed Restriction Letters: Produce and track letters based on the site inspections. Maintain violation log, both active and resolved
  • Assist with the preparation of the annual members meeting notice, board election ballots, and annual meeting presentation, attend the annual meeting, and assist in tallying votes and documenting results.
  • Renewals: Track expiration dates on all agreements for assigned associations (landscape maintenance, pool maintenance, janitorial, etc.), solicit bids for renewal, renew the agreements with current vendor if requested and/or assist the bid packet preparation. Ensure that all agreements are fully executed and are appropriately filed.
  • Maintain association records in CiraNet, including, but not limited to, work orders, contracts, proposals, vendor meetings, meticulously.
  • Manage the association CiraNet inbox to ensure 24 hour response for all messages and appropriate assignments to the responsible team member or department.
  • Assist the Association Manager with researching resident requests and/or official records requests.
  • Committee Coordination: Manage the volunteer process for assigned associations and maintain a data file of volunteers for each committee and manage committee requests
  • Additional duties assigned by the General Manager.

Qualifications:

  • Associate or Bachelor’s degree preferred.
  • Minimum of at least one (1) year’s Homeowner Association (HOA) Management experience required, preferably onsite.
  • GA license required
  • Strong interpersonal, supervisory, and customer service skills are required.
  • Able to set priorities, plan, organize, and delegate effectively.
  • Must have a command of the English language, both written and verbal.
  • Excellent phone etiquette and ability to address resident concerns quickly.
  • Ability to work effectively under time constraints and deadlines.
  • Ability to read, understand, and explain financial statements, including balance sheets, income statements, and general ledger.

Pay & Benefits: $65,000 - $75,000 per/yr, depending on education and experience.
