Job description

ART Surgical is a thriving, patient-focused medical practice in San Francisco, California. Our team of 2 providers is dedicated to delivering compassionate, high-quality care to our community. We are a close-knit team that values professionalism, efficiency, and a warm patient experience — and we are looking for a skilled Front Desk Coordinator to be the welcoming face of our practice.
As our Front Desk Coordinator, you will be the first point of contact for our patients — setting the tone for every visit. You will manage the day-to-day operations of our front office, keeping things running smoothly while delivering an exceptional patient experience. This is a hands-on role that requires strong organizational skills, healthcare knowledge, and a genuine commitment to patient care.
WHAT YOU WILL DO:
•     Greet and check in patients with warmth and professionalism
•     Manage scheduling — appointments, recalls, cancellations, and waitlists — using our EHR system
•     Answer and route incoming calls; respond to patient questions and voicemails in a timely manner
•     Verify insurance eligibility, collect co-pays, and process patient payments at point of service
•     Obtain prior authorizations and referrals as required by patient insurance plans
•     Accurately enter and update patient demographics and insurance information
•     Handle medical records requests, faxes, and incoming correspondence
•     Coordinate patient flow with clinical staff to minimize wait times
•     Maintain a tidy, HIPAA-compliant front office environment at all times
WHAT WE ARE LOOKING FOR:
•     Minimum 2 years of front desk or administrative experience in a medical office — required
•     Hands-on experience with EHR/practice management software (e.g., Epic, eClinicalWorks, Kareo, Athenahealth, or similar)
•     Solid understanding of health insurance — HMO, PPO, Medi-Cal, Medicare — including eligibility verification and authorizations
•     Proven ability to handle a busy front desk with professionalism and composure
•     Outstanding communication skills with patients, providers, and insurance representatives
•     Strong attention to detail and accuracy in data entry and payment processing
•     Knowledge of HIPAA regulations and patient confidentiality requirements
•     Proficiency with Microsoft Office (Word, Excel, Outlook)
•     Bilingual English/Spanish a strong plus
