JOB SUMMARY

We are seeking an Appointment Coordinator to coordinate and perform a variety of duties associated with appointment scheduling for provider clinic visits, genetic appointments, studies and procedures. Procedure Scheduling - Responsible for scheduling various cardiology diagnostic procedures. Procedures include, but not limited to echocardiograms, echo stress tests, cardiac Holter monitors, cardiac event monitors, and vascular testing for multiple cardiology clinic sites. Schedule Auditing - Reviewing the accuracy of all the provider's schedules to ensure they are opened or closed appropriately.

JOB DUTIES AND RESPONSIBILITIES

  • Oversee scheduling for various clinics and procedures, including:
    • Cardiac Diagnostic Procedure scheduling across multiple locations across Cardiology and other departments.
      • Contact patients and schedules diagnostic testing appointments. Ensure the diagnostic testing orders are processed and scheduled within a week of order date.
      • Provide procedure instructions as needed.
    • Schedule procedures for the MICRA AV research study.
    • Schedule and coordinate with clinic outpatient appointments or other types of appointments.
    • Complete Schedule Change Requests (SCRs) as needed.
    • Transcribe cardiac diagnostic orders from outside facilities.other ad-hoc scheduling needs as requested
  • Other ad-hoc scheduling needs as requested.
  • Manage referrals for cardiac diagnostic testing.

JOB ELIGIBILITY REQUIREMENTS

  • Work requires knowledge of basic grammar and mathematical principles normally acquired through high school education.
  • Minimum of one year of work experience in directly communicating and providing service to patients or public; preferably in a healthcare related field.
  • Experience in effectively coordinating multiple tasks or activities.
  • Advanced Experience with Maestro Care EMR and scheduling preferred .
  • Cardiology medical terminology preferred.
  • Customer service experience preferred.
  • Comprehension of oral and written instructions and ability to gather/sort verify information based on general instructions.
  • Proficient in Maestro Care appointment scheduling preferred.
  • Communicate clearly and concisely by phone and e-mail.
  • Establish/maintain effective working relationships with employees and physicians.
  • Demonstrate flexibility with changing workload/assignments.
  • Ability to communicate effectively in person and in written form.
  • Substitute for absent team members by performing their work functions.
  • Proficient in Microsoft Word, Excel, Teams, and Outlook 
  • Must be able to apply specific departmental policies rules and regulations relating to verifying patient information and maintaining records and forms.
  • Physical Requirements: This position requires the ability to frequently lift, push, and pull materials, equipment, and supplies as part of daily operations. Candidates must be able to perform these physical tasks safely and effectively throughout the workday.

JOB HOURS

The schedule for this position is day shifts, Monday-Friday, with no weekends or holidays.
