Job description

The Mobile Service Advisor plays a critical role in coordinating technician schedules, managing real-time service operations, and ensuring a seamless customer and technician experience. This role requires exceptional organizational and communication skills, as well as a deep understanding of operational systems like CDK and Tools. The ideal candidate is proactive, data-driven, and committed to supporting team success while maintaining high standards of service delivery and compliance.
This position is responsible for managing and maintaining the accuracy of Repair Orders (ROs) within both CDK and Tools platforms, ensuring alignment and compliance with internal policies and industry standards. The ideal candidate is detail-oriented, highly organized, and capable of providing administrative support across multiple service functions"
Job Responsibilities:
Scheduling and Coordination:
  • Create, manage, and adjust weekly dispatch schedules to meet customer and operational needs.
  • Dispatch technicians across customers, franchise/non-franchise, and dealer operations in an efficient and timely manner.
  • Monitor technician availability and job status in real-time, adjusting as necessary to ensure productivity.
  • Lead efforts to ensure accurate real-time data input and tracking across CDK and Tools platforms.
  • Open CDK Repair Orders to mirror Tools Repair Orders in real time, ensuring seamless integration and accuracy across platforms.
  • Review and audit completed Repair Orders from the previous day for completeness, accuracy, and compliance with company, warranty, and regulatory standards.
  • Validate that all relevant documentation, including parts, labor, and service details are properly recorded in both CDK and Tools ROs at the time of closing.
  • Ensure strict adherence to AutoNation policies, warranty requirements, and industry standards for all service documentation.
  • Provide administrative support to the Service Leadership team, assisting with various duties as needed to ensure smooth operations.
  • Support service and fleet teams in scheduling, dispatching, and other key operational activities.
  • Handle incoming phone calls professionally and assist with general inquiries when necessary.
  • Assist the Service Operations & Parts Manager with additional projects and tasks as assigned.
  • Work directly with Warranty companies to obtain authorizations for service on customer vehicles
  • Ensure accurate invoicing via Auto Integrate.

Communication and Collaboration:
  • Act as the primary liaison between the dispatch team and other departments to ensure operational alignment and efficient workflow.
  • Collaborate with technicians to address updates, challenges, and process improvements.
  • Communicate with technicians and customers to coordinate expectations, updates, and service delivery timelines.

Process Improvement:
  • Continuously identify and implement improvements to increase dispatch efficiency and service effectiveness.
  • Manage high-priority and same-day service requests with urgency and precision.
  • Develop and maintain standard operating procedures (SOPs) for consistent and quality dispatch operations.
  • Use data and performance metrics to guide decision-making and drive team optimization.

Problem Solving and Decision Making:
  • Resolve scheduling issues, last-minute changes, and customer concerns with professionalism and urgency.
  • Escalate significant operational issues as needed and work collaboratively to find solutions.

Compliance and Reporting:
  • Ensure dispatch processes are aligned with company policies, safety regulations, and operational standards.
  • Prepare and deliver regular reports on dispatch activities, technician performance, and service metrics.
  • Maintain accurate documentation of dispatch schedules, communications, and any incidents or escalations.
