Schedule: 6x10s, Monday-Saturday | Per diem paid 7 days/week
Job Overview
We are seeking an organized, detail-oriented Project Administrator to support daily administrative and operational functions on our Daytona construction site. You'll work closely with the Project Manager, Site Superintendent, foremen, and trades teams (millwrights, ironworkers, welders, etc.) to keep the project running smoothly. This is a fast-paced, on-site role requiring a proactive, hands-on individual.
Responsibilities
Administrative Support
  • Maintain project documentation: contracts, permits, and site records
  • Prepare daily, weekly, and monthly reports
  • Schedule meetings, prepare agendas, and take minutes
  • Track deliverables and timelines to ensure deadlines are met
  • Maintain accurate timekeeping records for site personnel and submit to payroll

Project Coordination
  • Support the PM and Superintendent with coordination of site activities and resources
  • Assist with procurement, inventory tracking, and delivery coordination
  • Monitor project budgets, invoices, and expenses
  • Coordinate communication between foremen and management
  • Manage document control to keep site records current

Compliance & Safety
  • Track safety certifications, licenses, and required training
  • Support safety protocol compliance and site inspection reporting
  • Help organize safety meetings and file required documentation

Communication & Liaison
  • Serve as point of contact between management, on-site trades, and vendors
  • Facilitate coordination between field operations and head office

Problem Solving
  • Proactively flag and help resolve delays, document inconsistencies, or resource shortages

Requirements
  • High school diploma/GED required; Associate's or Bachelor's in Business Administration, Construction Management, or related field a plus
  • 2+ years administrative experience, preferably in construction or industrial projects
  • Procore experience highly preferred
  • Timekeeping experience required
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Strong organizational, multitasking, and communication skills
  • Comfortable working on-site in a physically demanding, outdoor environment

Working Conditions
