Job description

The Office and Promotions Coordinator support the daily administrative needs of the Heartfelt Radio while coordinating promotions, community events, contests, and listener outreach. This role works closely with station staff, churches, ministries, volunteers, and community partners to strengthen the station’s presence and advance its mission through organized, professional, and Christ-centered service.

PRIMARY RESPONSIBILITIES


1. Coordinate Listener, Donor, and Staff Communications


  • Manage daily communications across designated email accounts, including CHM, Heartfelt, Donations, and Contact Us, ensuring timely responses and routing inquiries to appropriate staff.
  • Answer incoming phone calls, direct calls appropriately, and assist listeners with prayer requests and donation-related inquiries.
  • Maintain records of listener communications, prayer requests, and correspondence while distributing information to staff as appropriate.
  • Manage Mailchimp communications by preparing and distributing email communications to listeners.


2. Administer Donation Processing and Financial Support Activities


  • Process donations received through mail and electronic channels by accurately entering contributions into the fundraising database and verifying transactions.
  • Prepare donor acknowledgment letters and coordinate monthly mailing of receipts.
  • Generate donation reports for leadership to support fundraising and financial oversight.
  • Prepare bank deposits and maintain documentation for underwriting and paid programming contributions.


3. Support Office Administration and Team Operations


  • Prepare and maintain weekly prayer lists and staff meeting notes for distribution.
  • Update and distribute on-air promotional materials.
  • Maintain organized records, documentation, and administrative files that support daily ministry operations.
  • Provide administrative assistance to the Development Lead and other leadership as assigned.


4. Coordinate Events and Ministry Resources


  • Manage inventory of promotional and giveaway materials.
  • Prepare supplies and materials for ministry events and broadcasts.
  • Coordinate food, beverages, and logistical support for internal and external events.
  • Assist in planning and coordinating fundraising initiatives, including the Harvest Time Fundraiser.
  • Help to coordinate promotional events and remote broadcasts.
  • Maintain promotional materials, banners, signage, prizes, and event equipment.
  • Organize community events, concerts, church visits, remote broadcasts, and appearances.
  • Communicate event details, schedules, and responsibilities to staff and volunteers.


5. Maintain Office Facilities and Resources


  • Coordinate outgoing mailings, including books, letters, donor acknowledgments, and listener correspondence.
  • Maintain office, kitchen, and supply inventories to ensure staff have necessary resources.
  • Monitor office organization and cleanliness to support an efficient work environment.

REQUIRED QUALIFICATIONS


  • Two or more years of administrative, office coordination, customer service, nonprofit, ministry, or related experience.
  • Experience using Microsoft Office applications, including Word and Excel.
  • Ability to communicate professionally with listeners, donors, volunteers, and staff.


PREFERRED QUALIFICATIONS


  • Associate or bachelor’s degree in business, Communications, Media, or a related field, or equivalent combination of relevant education and experience.
  • Previous experience in radio broadcasting or media operations.
  • Experience in a nonprofit, ministry, or fundraising environment.
  • Experience with donor management or fundraising databases (such as Fundraiser).
  • Experience using Mailchimp or similar email marketing platforms.
