Column Technical Services is seeking an experienced Mailroom Services Associate to join a growing team onsite in Minnetonka, MN and play a critical role in supporting high-volume document processing and mail services operations. In this hands-on position, you will manage mail intake, document imaging, indexing, production mailings, and mailroom equipment while ensuring accuracy, efficiency, and compliance with established service standards. The ideal candidate brings experience working in a corporate mailroom, print production, records management, insurance operations or similar fast paced processing environment where attention to detail, strong organizational skills, and the ability to meet deadlines are essential. Key Responsibilities
  • Receive, open, and organize incoming mail in preparation for scanning and digital processing.
  • Categorize and index inbound and returned correspondence from scanned batches, fax transmissions, and email.
  • Handle returned mail processing for the Underwriting and Accounting departments.
  • Manage large-volume outgoing document mailings.
  • Operate and maintain mailroom equipment, including printers, scanners, inserters, and postage machines.
  • Prepare and process Certified and Registered mail.
  • Upload and index documents such as experience modifications, merit ratings, and certificates.
  • Support system testing efforts related to mailroom or document processing updates.
  • Supervise daily mailroom activities in the absence of the manager.
  • Ensure all mail processing adheres to company policies, compliance guidelines, and performance benchmarks.
  • Assemble and organize commission checks along with accompanying statements.
  • Identify and resolve issues related to mailroom production equipment.
  • Accept and manage deliveries from vendors.

Experience & Skills
  • A minimum of 3 years of in a corporate mailroom, document processing center, print production environment with scanning, folding, and mailing equipment is preferred.
  • High school diploma or GED required.
  • Ability to manage multiple tasks simultaneously in a fast-paced environment.
  • Strong organizational and time management capabilities.
  • High level of accuracy and attention to detail.
