Job description

Answer phone calls and facilitate the handling of informational and other requests by callers.

  • Answer and analyze telephone requests.
  • Triage and assess importance of telephone calls using problem-solving skills and take/route messages as appropriate.
  • Transfer or direct calls to appropriate person or department.
  • Schedule computerized patient appointments, diagnostic testing and referrals as requested.

Assist patients with appointments and coordinate provider orders.

  • Greet patients warmly and professionally.
  • Update patient information, as necessary.
  • Complete appropriate paperwork for insurance pre-authorization; route to assigned areas.
  • Collect and route patient copayments according to standard Clinic procedures.
  • Coordinate/facilitate provider orders for further services, referrals, and additional follow-up patient appointments.
  • Facilitate hospital admission orders, as necessary.

Assist Physician/Professional Staff with patient care.

  • Room patients as requested by provider.
  • Assist provider in exam room as requested.
  • Collaborate with physician regarding patient care and relay instructions/medical advice to patient under supervision of physician.
  • Participate in practice improvements by implementing changes to procedures/workflows, identifying opportunities for improvement, and assisting with the delivery of compassionate and personalized patient care.
  • Clean and stock exam rooms

Process charges, insurance, and prior authorization.

  • Review and code charge tickets to ensure that they are complete and accurate, forward to Information Services in a timely manner for processing.
  • Obtain hospital billing information for hospital charge tickets, review, and code for submission to Information Services.
  • Obtain authorizations from insurance companies, employers, attorneys and work comp carriers for diagnostic testing, referrals and office visits as ordered by provider.
  • Assist patient with insurance forms as requested and forward to appropriate department.
  • Pre-certify patients for hospital admissions as mandated by insurance company.

Perform miscellaneous Medical Record duties.

  • Retrieve medical records for patient appointments and as required by provider.
  • Update and file medical records in accordance with Clinic policy and procedures.
  • Establish new patient medical records; organize records as necessary for patient appointments.
  • Obtain appropriate authorizations for releasing patient information.
  • Route all medical/legal and records requests as needed.
  • Direct all patient correspondence (test results, referral letters, etc.) to provider for review and maintain file correspondence folders as necessary.

Perform miscellaneous clerical duties.

  • Print and distribute daily schedules and charge tickets to providers.
  • Process medication refill requests in a timely manner.
  • Collect information and data for outcome studies as related to MCN.
  • Retrieve and distribute mail.
  • Order supplies as necessary

Education and Experience:

  • High School graduate or GED equivalent.
  • Accurate and precise reading and writing skills.
  • One-year previous medical office experience.

Knowledge, Skills, and Abilities:

  • Patient centered, strong customer service orientation.
  • Ability to handle multiple providers and/or priorities along with deadlines and troubleshoot and resolve problems.
  • Ability to work independently, exhibit mature judgment and make sound decisions.
  • Knowledge of medical terminology and ICD-9/CPT coding.
  • Good human relations and organizational skills.
  • Ability to type 45 wpm.
  • Ability to handle confidential information with the utmost judgment and discretion.
  • Proficiency with MS Office, including Word, Excel and Outlook.
  • Knowledge of EMR spelling/grammar
