About the Role

The Mail Services Associate plays a key role in managing the flow of physical mail and packages across the corporate office. You’ll be responsible for receiving, processing, scanning and distributing incoming and outgoing mail to support daily operations across multiple departments.


This role ensures the secure and timely handling of documents and shipments that are essential to business functions such as client services, compliance, collections and internal communications. The ideal candidate is organized, dependable, and thrives in a fast-paced, high-volume environment where attention to detail and strong service skills are critical.


Key Responsibilities


Mail and Package Processing

  • Receive, inspect, sort, scan and deliver all classes of mail, courier shipments, and interoffice correspondence.
  • Track and manage accountable items (e.g., FedEx, UPS, Certified Mail) using internal tracking systems.
  • Package, label, and process outgoing mail and shipments
  • Operate postage meters and inserters (2D, OMR, non-barcoded jobs) and manage postage downloads and reconciliation.


Client Service & Communication

  • Respond to internal inquiries and resolve issues related to mail delivery and shipping logistics.
  • Notify recipients of delivery exceptions or delays.
  • Maintain accurate logs and documentation of shipments, deliveries, and client communications.


Operations Support

  • Prioritize workloads based on Service Level Agreements (SLAs).
  • Monitor and replenish mailroom and copier supplies.
  • Perform basic maintenance on mailing, scanning, and printing equipment.
  • Use handheld devices and tracking software for internal deliveries.
  • Coordinate offsite deliveries as needed.
  • Generate reports on mailroom metrics using tools like Business Manager and Send Suite Tracking.
Requirements:
  • High School Diploma or GED.
  • 3–5 years of experience in a mailroom, office support, or logistics environment; financial services experience is a plus.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with tracking systems and shipping software.
  • Ability to lift up to 30 pounds and perform physical mailroom duties, including trips to Post Offices as needed.
  • Strong organizational, problem-solving, and communication skills.

Preferred Qualifications

Knowledge of USPS rules and regulations.

Knowledge of Box, SharePoint and Adobe Acrobat.

Prior experience in regulated industries such as finance, fintech, or insurance.

Knowledge of domestic and international shipping protocols, including compliance.


Salary Range

$48,000 to $58,000
