Job description

The Office Services Technician is responsible for ensuring the efficient flow of documents, mail, and communications throughout the organization. This position is responsible for sorting, processing, and distributing incoming and outgoing mail; managing shipping and receiving activities (including certified mail, regular and overnight packages); maintaining accurate mailing and postage records; and providing backup support for reception and switchboard operations.

Your Impact:

  • Sort, process, and distribute all incoming mail, packages, and documents ensuring timely delivery to the correct departments.

  • Identify and verify firm names and addresses to route documents (scanned and delivered) to the correct department.

  • Prepare, scan and index incoming materials, including checks, legal documents, and internal correspondence into the electronic storage system.

  • Operate the folder-inserter machine to complete large mailing projects; determine appropriate envelope types and program the machine according to project specifications.

  • Monitor machine performance and troubleshoot basic issues to maintain workflow efficiency.

  • Prepare and print labels for outgoing packages using UPS, FedEx and other carriers; arrange timely shipments and track deliveries as needed.

  • Receive, log, and distribute incoming packages promptly and accurately.

  • Reconcile UPS and FedEx invoices, ensuring proper charge coding for accounting and departmental allocation.

  • Run outgoing mail on postage machine; maintain accurate spreadsheet and records for postage usage, meter balances and related expenses.

  • Serve as a back up to the Receptionist as needed; sit at the reception desk, greet visitors, answer and direct inbound calls promptly, manage visitor logs, and utilize the paging system as needed.

Successful Candidates Will Have:

  • High School diploma or GED

  • Prior mail room related experience is desired.

  • Strong attention to detail and accuracy in a fast-paced environment.

  • Ability to prioritize tasks and manage time efficiently.

  • Basic computer skills, including data entry and scanning software.

  • Ability to lift and move packages as required for mailroom operations.

  • Professional communication and customer service skills.

Pay Range:
