We are seeking an autonomous, fast-moving, and highly capable Recruiter who can seamlessly transition from high-volume phone screening to rigorous compliance and administrative tracking. If you are an expert at managing the fast-paced full lifecycle of industrial staffing while keeping your documentation bulletproof, you will thrive on our team.


Job Summary

We are looking for a charismatic, professional Bilingual Staffing Recruiter & Office Specialist to manage the candidate lifecycle and direct our daily office operations. In this role, you will be the first impression of our branch—answering high-volume incoming phone calls with a pleasant, welcoming attitude while executing rigorous administrative tasks. You will manage the blue-collar talent pipeline from initial phone screens to digital dispatch tracking. The ideal candidate brings a background in agency recruiting, extensive hands-on experience navigating ZipRecruiter, outstanding Smartsheet tracking capabilities, and an expert eye for detailed Form I-9 employment compliance.


Key Responsibilities & Essential Functions

  • First Impression & Phone Reception: Serve as the welcoming face and voice of the branch. Answer high-volume incoming calls professionally in both English and Spanish, route inquiries, and greet walk-in candidates with an upbeat, helpful attitude.
  • Bilingual Sourcing & Screening: Proactively source, screen, and interview candidates for light industrial (warehouse, logistics) and construction openings, communicating flawlessly across English- and Spanish-speaking talent pools.
  • Onboarding & I-9 Compliance: Execute complete onboarding administration, including meticulous verification of Form I-9 documentation, E-Verify, and managing background/drug screenings with zero room for compliance errors.
  • Application Processing & Data Entry: Efficiently review and process digital and walk-in applications, moving candidates swiftly through our applicant tracking funnel to match client dispatch schedules.
  • Platform Mastery: Actively use ZipRecruiter features (such as "Invite to Apply," proactive resume searching, and customized screening filters) to continually capture active talent pools.
  • Workflow Optimization: Utilize Smartsheet daily to build, maintain, and update dispatch logs, active headcounts, candidate contact lists, and branch data metrics.


Qualifications & Skills Required

  • Language Proficiency:100% Fluent in both English and Spanish (verbal and written) with the ability to translate and guide candidates through onboarding documents.
  • Industry Experience: Minimum of 1–2 years of experience in agency staffing, high-volume recruitment, or advanced office administration within light industrial or construction sectors.
  • Software Literacy: Intermediate proficiency using Smartsheet (or advanced project tracking tools) to manage lists, columns, and rows efficiently.
  • Platform Expertise: Hands-on experience utilizing ZipRecruiter to source candidates or manage job postings.
  • Compliance Knowledge: Direct familiarity with federal employment regulations, specifically manual and electronic I-9 verification processes.
  • Interpersonal Excellence: Exceptional telephone etiquette, outstanding communication skills, and a naturally warm, resilient, and professional demeanor under pressure.
