Job description

Position Summary

The Logistics Operations Coordinator supports the coordination of container shipments, export documentation, customer communication, shipment tracking, and logistics records. This position ensures shipments are properly scheduled, documented, monitored, and communicated from loading through arrival.

Key Responsibilities

  • Prepare the container dispatch schedule for the following week.
  • Send preliminary and final IMO documentation for containers.
  • Prepare and send container pre-alerts, including pictures and invoices.
  • Scan and save cross-docking paperwork in the appropriate customer file.
  • Send the BOL to the customer once the shipment has departed and provide updates on shipment milestones.
  • Check temperature recorders for containers as soon as the arrival notification has been sent to the customer.
  • Take pictures of equipment, containers, orders, and loading activities and organize them in the shared drive.
  • Assign and create temperature recorders for the following week’s shipments.
  • Create Meat Certificates, file pictures and lot information related to the certificates, and print three copies.
  • Prepare weekly reports, including Container Recap, Cross-Docking, Wilfredo In/Out, Hidden Temp recorders, Truck Appointment Confirmation.
  • Maintain inventory of shipment supplies, including seals, temperature recorder cases, and temperature recorders, and order supplies as needed.

Qualifications

  • High school diploma or equivalent.
  • Previous logistics, shipping, export, or administrative experience preferred.
  • Strong organizational and attention-to-detail skills.
  • Proficiency with Microsoft Excel, Microsoft Office and Outlook.
  • Strong communication and follow-up skills.
  • Ability to manage multiple shipments and deadlines in a fast-paced environment.
  • Bilingual English/Spanish preferred.
