Job description

Circle K is seeking a highly motivated and detail-oriented Logistics Operations Specialist to support fuel distribution operations across North America. This role is critical to ensuring reliable, efficient, and cost-effective fuel deliveries to our store network while maintaining exceptional customer service and operational excellence.
The ideal candidate thrives in a fast-paced environment, possesses strong analytical and problem-solving skills, and can adapt quickly to changing business conditions. This position requires individuals who can manage complex operational challenges, communicate effectively with internal and external stakeholders, and contribute to the development of a scalable carrier network supporting one of the fastest-growing convenience store companies in the world.
Candidates must be customer-focused, self-motivated, and willing to provide operational support outside of traditional business hours, including evenings, weekends, and emergency situations when required.
Key Responsibilities
Fuel Distribution & Logistics Planning
  • Execute precise and cost-effective fuel distribution planning to ensure timely and efficient product delivery.
  • Monitor and optimize transportation costs while supporting overall logistics and supply chain performance.
  • Review fuel dispatch systems to ensure accurate setup of planning parameters, sales trends, tank configurations, and supply sources.
  • Monitor store inventory levels and coordinate with transportation providers to prevent fuel runouts and service interruptions.
  • Perform daily operational control activities to ensure quality, consistency, and reliability throughout the fuel supply chain.

Operational Analysis & Reporting
  • Analyze distribution planning performance indicators and prepare operational reports.
  • Support the implementation of logistics strategies that align with business goals and operational objectives.
  • Maintain accurate records and ensure data integrity for all logistics-related activities and reporting.

Carrier & Supplier Management
  • Provide day-to-day operational direction to common carriers to ensure compliance with Circle K Standard Operating Procedures (SOPs), load assignments, inventory management requirements, and transportation guidelines.
  • Develop and maintain productive relationships with transportation providers, suppliers, and external business partners.
  • Collaborate with carriers during fuel conversion seasons to support compliance with local, state, and federal regulations.
  • Identify opportunities for operational improvements and enhanced transportation performance.

Customer Service & Stakeholder Collaboration
  • Serve as the primary liaison between carriers, supply teams, accounting departments, and other internal stakeholders to resolve operational issues and inquiries.
  • Partner closely with sales, customer service, and logistics teams to deliver exceptional customer service and achieve company objectives.
  • Respond promptly to customer complaints, operational disruptions, and service-related issues by identifying and implementing effective solutions.
  • Facilitate timely and accurate information exchange among internal and external partners.

Compliance & Safety
  • Ensure all activities are performed in accordance with Circle K for ethical standards, HSSE policies, and applicable transportation regulations.
  • Support compliance with dangerous goods transportation requirements and industry best practices.
  • Promote safe and efficient operational practices across the transportation network.

Emergency & After-Hours Support
  • Provide after-hours operational support for unresolved emergencies and critical distribution issues.
  • Participate in rotating on-call responsibilities, including nights, weekends, and holiday coverage as required.

REQUIRED QUALIFICATIONS
  • 2 to 3 years of experience in transportation dispatch, logistics operations, fuel distribution, or the petroleum trucking industry.
  • Strong analytical, problem-solving, and decision-making abilities.
  • Excellent verbal and written communication skills.
  • Ability to adapt quickly to changing priorities in a fast-paced operational environment.
  • Strong attention to detail and commitment to operational accuracy.
  • Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint.
  • Ability to work independently while collaborating effectively within a team environment.

PREFERRED QUALIFICATIONS
  • Bachelor's degree in business, Supply Chain Management, Operations Management, Logistics, or related field.
  • Experience with TMW Fuel Dispatch software or similar transportation management systems.
  • Experience in supplier management, carrier relations, and project coordination.
  • Knowledge of dangerous goods, transportation regulations, and applicable industry legislation.
  • Experience supporting large-scale logistics or fuel distribution operations.
