Responsibilities
The Peraton Labs Operations Manager provides the operational foundation of the office, integrating executive support, operations administration, and direct management of facilities and logistics.. This role blends project management discipline, operational coordination, and office management. Core responsibilities include maintaining smooth office operations, supporting the executive team, coordinating key initiatives, streamlining processes, safeguarding and tracking assets, and cultivating workplace culture through organized team events. The ideal candidate is a highly organized, proactive, and personable professional who welcomes variety in their work and takes full ownership of the details that keep an office running along with leading operational initiatives .
Key Responsibilities
Operations
  • Lead and manage daily operational activities, ensuring accuracy, continuity, and alignment with organizational goals.
  • Partner with leadership to drive operational planning, prioritization, and execution across multiple workstreams and locations.
  • Schedule sector-wide meetings, forums and candidate interviews.
  • Handle confidential and sensitive information with discretion
  • Send out sector communications as needed.
  • Coordinate sector-wide onboarding, including logistics, access requests, checklists, and new-hire readiness.
  • Manage interview scheduling in partnership with Talent Acquisition, including first-round and panel coordination and communication.
  • Support project management activities, including planning, tracking, and coordinating key operational initiatives.
  • Prepare regular metrics, performance updates, operational summaries, and project status reports for leadership.
  • Support process improvement by mapping pain points, evaluating solutions, and implementing operational changes.

Facilities Management
  • Oversee day-to-day upkeep, maintenance, and safety of the Basking Ridge office space.
  • Serve as primary liaison with building management, landlords, and vendors (cleaning, maintenance, security, HVAC, etc.).
  • Manage office supply inventory, ordering, and vendor relationships.
  • Coordinate office moves, seating arrangements, and space planning.
  • Maintain seating charts.
  • Ensure compliance with workplace safety standards and emergency preparedness plans.
  • If there are any facilities issues or outages, assess the impact and serve as the point-of-contact in working with the landlord, vendors and internal team towards quick resolution.
  • Serve as point of escalation and resolution for any facility issues during business or off hours.
Asset Management and Procurement
  • Maintain accurate inventory of office equipment, furniture, and IT assets.
  • Track asset lifecycle: procurement, assignment, maintenance, and disposal.
  • Coordinate with IT on equipment provisioning/deprovisioning for new hires and departures.
  • Oversee the Purchasing Card process including coordination with the team to make purchases in a timely manner and follow the reconciliation process for all Purchasing card transactions.
  • Coordinate equipment disposal through appropriate eWaste methods.
  • Monitor invoices and ensure payment; escalate to Procurement as needed.
Shipping & Receiving
  • Supervise the incoming and outgoing mail, packages, and freight.
  • Coordinate with carriers (FedEx, UPS, USPS, freight vendors) for pickups and deliveries.
  • Track shipments, resolve delivery issues, and maintain shipping/receiving logs.
  • Ensure proper handling and distribution of deliveries to staff/departments.
General Office Operations
  • Manage office budget related to supplies, facilities, and events; track expenses against budget.
  • Manage vendor contracts and service agreements.
  • Support Operations with administrative tasks as needed.
  • Identify process improvements to increase office efficiency.

Qualifications
  • 10 years of experience in office management, operations, executive administrative support, or a related operations role.
  • Ability to work in the Basking Ridge, NJ office Monday - Friday during business hours (8am - 5pm).
  • Prior experience supporting C-suite or senior executives.
  • Proven experience coordinating facilities, vendors, and logistics.
  • Strong organizational and multitasking skills with excellent attention to detail and comfort working in fast-paced, evolving environments.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office / Google Workspace and calendar management tools.
  • Demonstrated discretion in handling confidential/sensitive information.
  • Ability to work independently, prioritize competing demands, and problem-solve on the fly.
  • Ability to travel approximately 10%.
  • Must be a US citizen
Preferred Qualifications
  • Bachelor's degree in Business Administration or related field (or equivalent experience).
  • Experience with asset/inventory management systems.
  • Data-driven mindset with experience using dashboards, reporting tools, or performance metrics.
  • Experience with data visualization software (such as Power BI) preferred.
  • Familiarity with expense reporting and basic budget tracking.

Target Salary Range
$104,000 - $166,000. This represents the typical salary range for this position. Salary is determined by various factors, including but not limited to, the scope and responsibilities of the position, the individual's experience, education, knowledge, skills, and competencies, as well as geographic location and business and contract considerations. Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay.
