Sales & Operations Assistant Intern Description

Location: On-site 

Type: Part-Time Internship


Role Overview

We are looking for an organized, highly motivated Sales & Operations Assistant Intern to support our growing team. In this role, you will gain hands-on experience at the intersection of sales and supply chain management. Working directly alongside our Sales & and Operation Leaders, you will assist with order processing, account management support, inventory tracking, and client correspondence.


Key Responsibilities

• Support the Operations Team in tracking inventory levels, identifying discrepancies, and assisting with physical counts and reconciliations. 

• Generate and analyze daily pending order reports to prioritize outbound shipments based on requested delivery dates and real-time inventory availability. 

• Assist in preparing shipping documentation, obtaining freight quotes, arranging pickups, and coordinating directly with carriers, delivery appointment departments, and suppliers. 

• Support Sales Manager with updating customer database records, managing contact lists, conducting prospect research. 

• File, organize, and maintain commercial documents—including Bills of Lading (BOLs), Proof of Deliveries (PODs), and shipping records—ensuring compliance with regulations and company policies. 

• Assist in identifying and resolving issues related to shipment delays, inventory discrepancies, and minor delivery or documentation errors. 

• Maintain accurate logistics data in company systems, assist with generating shipping and fulfillment, and perform general administrative tasks and special projects across departments.

• Assisting the Sales Department with samples, sample campaigns, Trade Shows and Travel plans. 


Qualifications

  • Ability to follow instructions carefully and maintain attention to detail in tasks such as inventory organization and order preparation.
  • Basic computer skills, including working with email, spreadsheets, and simple data entry systems.
  • Strong communication and teamwork skills to collaborate effectively with warehouse and office staff.
  • Reliability and time management skills, including punctuality and the ability to manage multiple small tasks during the day.
  • Comfort with light physical activity, such as standing for periods of time and handling packaged ingredients within reasonable weight limits.
  • Interest in food, baking, or supply chain operations; prior experience in a warehouse, retail, or food environment is helpful but not required.
  • Current student or recent graduate preferred; eligibility to work on-site in Fairfield, NJ is required.
