Client Service & Operations Associate

Remote (U.S.-based) or / Flexible Hybrid if located in Austin, TX Metro  | Part-Time to Full-Time

Overview

This is a private, referral-only opportunity to join a boutique financial planning practice in a high-trust, execution-focused role.

We are seeking a Client Service & Operations Associate to support all aspects of the business and a lead solo Advisor with a deep roster of professional consultants, looking to sustain an already successful practice and grow it's impact - including Advisor support, client service, planning preparation, and operational workflows - through consistent, detail-oriented execution. Candidates should have a curiosity in not just the 'how' but also ultimately the 'why' as it relates to all processes and outcomes. 

You will work closely with the advisor across multiple and eventually all areas of the practice. Over time, you will gain exposure to how the business and the industry operates end-to-end, while being responsible for ensuring that processes are carried out accurately and on schedule, with an end goal of seamless client experience life-cycle from lead generation to onboarding for initial financial planning,  to long-term mutually beneficial professional relationships.

The advisor is responsible for strategy, advice, and direction.

Core Responsibilities

Advisor and Client Service & Relationship Support

  • Serve as a responsive, professional point of contact for advisor and client requests
  • Coordinate meetings, prepare materials, and manage follow-up tasks
  • Ensure a consistent and high-quality client experience
  • Business processing and follow through in Financial Planning onboarding and deliverables, insurance underwriting and production, investment account opening and maintenance, NIGO fixes, and ongoing service of complex structures of multiple products, strategies, and planning techniques executed within a single household, duplicated across a growing book of high income and high net worth professionals, business owners, and families. 

Operations & Workflow Execution

  • Maintain CRM systems, tasks, and documentation daily
  • Track all client service items and new business processing through completion
  • Learn and follow established processes with precision and consistency

Planning & Case Preparation

  • Gather, organize, and input financial data
  • Assist in maintaining financial planning, investment, and insurance software (e.g., eMoney, SalesForce, WealthScape, Envestnet, Insurance and Annuity illustration software, and NYL Agency Portal among others)
  • Prepare reports and materials for advisor review

Practice Support (Execution Across Functions)

  • Support marketing logistics (campaign coordination, tracking, scheduling - not content creation)
  • Maintaining nurture funnels for existing prospects toward conversion to clients
  • Client events and advisor networking
  • Assist with administrative aspects of hiring and onboarding as needed
  • Help maintain internal systems and identify opportunities for efficiency
