Job Title: Human Resources/Operations Assistant

Reports To: Director of Operations (DOO)

Status: Non-Exempt

Supervision: No direct reports

Location: In-Person

Salary range: $53,000 - $55,000


SUMMARY OF FUNCTIONS

Reporting to the Director of Operations (DOO), the Human Resources/Operations Assistant facilitates HR processes across all locations. Key duties include benefits administration, compliance (I-9 and background checks), payroll auditing, recruiting coordination, onboarding/offboarding, and performance review support. The role also involves training in advanced HR functions and general administrative tasks.


Operational responsibilities include tracking insurance policies, contracts, and MOUs. This position also assists with building maintenance coordination and provides technical support to the IT Administrator, serving as the central communications hub for the Operations Team.

SPECIFIC JOB RESPONSIBILITIES

Human Resources

  • Manages health, welfare, and 401K plans, including enrollments, changes, and terminations; coordinates with payroll and providers for accurate deductions.
  • Performs customer service functions by answering employee requests and questions.
  • Completes Forms I-9, verifies I-9 documentation and maintains I-9 files. 
  • Submits online investigation requests and assists with new-employee background checks.
  • Sets annual holidays for agency 
  • Assists with leave management
  • Payroll support and auditing. 
  • Assists with processing of new-hire onboarding and terminations.
  • Assists with the preparation of the performance review process.
  • Coordinates recruitment and interviewing by tracking candidates, scheduling meetings, and managing follow-up correspondence.
  • Handles clerical tasks including scanning, mailing, and maintaining confidential employee files.
  • Performs other related duties as assigned. 


TRAINS WITH DOO TO PERFORM:

  • Audits of payroll, benefits or other HR programs.
  • Employee Relations
  • Documents employee relations issues and assists with drafting performance improvement plans (PIPs) under DOO guidance.
  • Service as a first point of contact for general employee concerns, escalating appropriately and maintaining consistent, professional follow-through.
  • State-level employment law compliance, especially California compliance.
  • Maintains knowledge of California/Federal labor laws, manages mandatory postings, and tracks leave compliance (FMLA/CFRA).
  • Leave Administration
  • Administers leave requests from eligibility tracking to return-to-work logistics, ensuring compliance with state and federal laws.
  • Training and Development Coordination
  • Schedules and tracks mandatory compliance training (e.g., anti-harassment) to meet legal and grant requirements.
  • Policy Development and Maintenance
  • Researches, drafts, and maintains HR policies and procedures in the employee handbook, ensuring alignment with current California, other state, and federal law; coordinates DOO review and approval prior to distribution. 
  • HR Reporting and Metrics
  • Compiles and maintains HR metrics including headcount, turnover, time-to-fill, and leave usage; prepares regular reports for leadership review.
  • Supports compensation benchmarking efforts by gathering market data and assisting with internal equity analysis.
  • Onboarding and Offboarding
  • Manages full-cycle onboarding/offboarding workflows, including system setup, orientation, and exit surveys.
  • Contractor and Consultant Administration
  • Assists in the preparation, tracking, and renewal of independent contractor and consultant agreements; maintains contracts in HRIS systems, and ensures documentation is current and filed appropriately. Assists with contractor onboarding.
  • Organizational Culture and Engagement
  • Supports engagement initiatives and surveys to inform organizational improvements in alignment with 3SGF values.


Operations

  • Assist with filing and tracking for Operations, HR, and IT.
  • Maintain Monday Boards for information access and project tracking.
  • Assist with Building Maintenance including obtaining quotes, collecting contract documents, and making service appointments.
  • Assist with event tracking and planning for accommodation of internal and external events taking place at The Table.


Development

  • Provide HR information required for applications or funder reporting.
  • Share social media and posts with network
  • Attend networking events to grow 3SGF, locally as requested
  • Attend events, tradeshows or speaking events as needed for 3SGF, locally as requested


REQUIRED SKILLS

  • At least 2 years HR experience and 1-2 years Office Management experience.
  • Excellent verbal and written communication skills. 
  • Excellent interpersonal and customer service skills.
  • Excellent organizational skills and attention to detail.
  • Working understanding of human resource principles, practices and procedures.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent project management skills
  • Ability to function well in a high-paced and at times stressful environment.
  • High facility with Microsoft Office applications (Word, Excel, Outlook) and Google Drive, Docs, and Sheets

DESIRED SKILLS

  • Bachelor's degree in human resources or related field and/or equivalent experience.
  • SHRM-CP credential preferred.
