Office Assistant

Senior Helpers of Portage

Non-exempt hourly position: $19 to $22 per hour, depending on experience

We are seeking an Office Assistant who is passionate about making an impact on people's lives. At Senior Helpers of Portage, we provide care and comfort so seniors can age safely and gracefully in their own homes. This is a great opportunity to join a growing agency and gain hands-on experience across recruiting, client care coordination, and daily office operations. You will work closely with, and provide day-to-day administrative support to, the owner and Office Manager, helping keep our caregiving and office teams running smoothly.

Caregiver Support

• Assist with caregiver recruitment, interview scheduling, and onboarding paperwork

• Help coordinate caregiver scheduling, training sessions, and orientation logistics

• Prepare new hire packets and employee handbooks

• Ensure caregiver employment paperwork is completed properly and filed according to policy

• Support caregiver retention efforts by helping organize recognition activities and rewards

Client Communications

• Prepare and distribute client welcome packets

• Enter and file information from incoming leads and existing clients, maintaining strict confidentiality (following HIPAA and other privacy policies and regulations)

• Help maintain clear, timely communication with clients, family members, caregivers, and others involved in a client's care

Office Support

• Answer and screen incoming phone calls in a pleasant, warm, and professional manner

• Perform general office functions such as filing, data entry, mail handling, and supply management

• Assist the Office Manager and owner with billing and invoicing tasks as needed

• Maintain organized physical and electronic client and caregiver files

• Support other administrative tasks and projects as assigned

Qualifications

• High school diploma or equivalent required

• Associate's or Bachelor's degree a plus

• At least one year of administrative, clerical, or customer service experience

• Prior experience in home care or the health care industry a plus, but not required

• Working knowledge of Microsoft Office suite required

• Strong organizational skills and attention to detail

• Background checks and other pre-employment screening will be required
