Position: Sales & Logistics Assistant

Job Type: Temporary-to-Permanent, Full-Time, Onsite

Location: Las Vegas, NV

Schedule: Monday through Friday (7AM - 4PM)

About the Company: Our client is a supplier of premium building materials and high-end wood products. They partner directly with contractors, builders, developers, and cabinet shops to supply materials for custom construction projects. In addition to stocking specialized product lines, they source unique special orders to meet exact client specifications, providing physical samples and literature to support the sales process.

Job Summary

The Sales & Logistics Assistant plays a critical role in efficiency by providing direct, high-level administrative support to the sales team, handling customer order processing, and tracking the supply chain. This role coordinates heavily between sales staff, clients, and warehouse teams to ensure smooth daily operations and excellent client service. This is a full-time, temp-to-perm position. The role begins as a temporary contract with the opportunity to transition into a permanent placement based on performance and business needs.

Key Responsibilities and Duties (but not limited to)


Office Administration & Clerical Support

  • Manage Communications: Answer incoming calls and route messages accurately.
  • Maintain Records: Organize and update vendor files, customer profiles, Tax Resale Cards, and order logs.
  • Procure Supplies: Monitor and order all necessary office and warehouse supplies.
  • Financial Tasks: Process bank deposits, enter received purchase order (PO) bills, and collect payments.
  • Office Maintenance: Keep front office tables and common areas clean, clear, and organized.
  • Team Care: Coordinate office lunches and handle employee birthday shopping, including cakes and cards.


Customer Service & Order Fulfillment

  • Process Orders: Write up formal customer orders based on sales team quotes.
  • Generate Documentation: Prepare accurate invoices, packing lists, and "To/From" shipping labels.
  • Coordinate Logistics: Update the shipping board and notify salespeople when customer orders are prepared.
  • Schedule Deliveries: Coordinate customer pick-ups and freight deliveries with clients and sales staff.
  • Quality Control: Review prepared orders and loaded delivery trucks with warehouse staff to ensure zero missing items.
  • Visitor Relations: Welcome and assist will-call customers to ensure an efficient, positive experience.


Supply Chain & Logistics Support

  • Purchase Management: Create purchase orders (POs) using vendor quotes and sales team guidance.
  • Track Open Orders: Review and follow up weekly on the Open Estimate Report and Open PO Report.
  • Vendor Relations: Communicate with vendors to confirm on-time shipping schedules for existing orders.
  • Inbound Shipments: Prepare inventory tags for incoming warehouse freight and verify packing lists against original POs.
  • Inventory Control: Assist with physical inventory counts, asset tracking, and warehouse layout mapping.


Operations & Marketing Assistance

  • Warehouse Support: Assist the Operations Manager by scheduling equipment maintenance and supply deliveries.
  • Vendor Sourcing: Research and source new suppliers for operational needs like pallets or special materials.
  • Shipping Execution: Pack items, print labels, and manage UPS/USPS shipments, including drop-offs or carrier pickups.
  • Marketing Support: Organize and manage physical sample inventories, including wood sample books, veneer, and plywood.

  • Organization: Ability to multitask and manage multiple filing systems, reports, and tracking boards simultaneously.
  • Communication: Clear verbal and written communication for answering phones, assisting customers, and updating the sales team.

  • Basic Math & Data Entry: Accuracy in processing bank deposits, counting inventory, and entering billing data.
  • Logistics Coordination: Capability to schedule deliveries, track shipments, and coordinate with external freight or shipping vendors.


Required Qualifications

  • Education: High School Diploma or equivalent.
  • Experience: Minimum of 1 year of experience in an office administration, customer service, or clerical role.
  • Computer Literacy: Proficiency with Microsoft Office Suite (Word, Excel), and general computer navigation.
  • Physical Ability: Capability to lift and package shipping boxes, stand for inventory counts, and work in both office and warehouse environments.
  • Reliable Transportation: Valid driver's license and a reliable vehicle for running local office errands.


Preferred Qualifications

  • Industry Experience: Previous experience working with sales in a warehouse, building materials, lumber, or logistics environment.
  • Software Familiarity: Experience using inventory tracking software or order management systems.
  • Procurement Sourcing: Experience communicating directly with vendors to request quotes, track orders, or source unique materials.
