Job description

Executive Assistant

Our client, a leading company in the food distribution and supply chain industry, is seeking an experienced Executive Assistant to support the President and Vice President of Sales and Supply Chain at their Jacksonville, FL facility. This is a contract position offering the opportunity to provide high-level administrative and executive support in a professional corporate environment.

Location: Jacksonville, FL (Onsite)

Schedule: Monday–Friday, 8:00 AM–5:00 PM (1-hour unpaid lunch)

Contract Duration: Approximately 21 weeks (848 total hours)

Travel: Minimal (approximately 5%)

Key Responsibilities:

  • Provide comprehensive administrative support to the President and Vice President of Sales and Supply Chain
  • Manage complex calendars, prioritize requests, and resolve scheduling conflicts
  • Record and distribute meeting minutes
  • Develop travel itineraries, book flights, arrange ground transportation, and coordinate accommodations for executives and company guests
  • Serve as liaison between executive leadership, departmental leaders, and Global Support Center departments
  • Prepare and distribute reports as needed
  • Support event and meeting logistics
  • Assist with special projects assigned by senior leadership
  • Prioritize and manage multiple projects simultaneously

Required Qualifications:

  • Prior experience supporting senior executives or C-level leadership
  • Strong proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Excellent organizational and time-management skills
  • Strong written and verbal communication abilities
  • Demonstrated ability to handle confidential information with discretion
  • Ability to manage competing priorities in a fast-paced environment

Preferred Qualifications:

  • Experience coordinating international travel arrangements
  • Experience working within a corporate or global support center environment
  • Familiarity with supply chain or sales organizational structures
