Job Summary:


Logistics Operations Coordinator plays a critical role in managing and optimizing the companys import and shipping activities. This position is responsible for coordinating the end-to-end movement of goods, ensuring timely delivery schedules, resolving operational issues, and upholding all applicable regulatory and compliance requirements. The ideal candidate will demonstrate strong attention to detail, effective communication skills, and the ability to maintain seamless operational flow in a fast-paced environment.


About The Role:


  • Coordinate and schedule delivery appointments with carriers, forwarders, and truckers for import containers, ensuring timely return of empty equipment.
  • Monitor all import shipments and empty returns, providing accurate daily and weekly updates to internal teams.
  • Communicate effectively with ocean carriers, forwarders, truckers, and internal teams to maintain smooth operations and promptly resolve issues.
  • Work closely with the warehouse team to align receiving activities and report discrepancies in accordance with established procedures.
  • Maintain strict compliance with all shipping, receiving, and regulatory requirements.
  • Investigate and resolve operational issues, including damages, shortages, and non-conformance to specifications.
  • Prepare and issue Delivery Orders to drayage partners as required.
  • Update and maintain records of new orders and purchase order statuses in daily operational reports.
  • Review shipping documents for accuracy against the Bill of Lading and coordinate corrections with the shipper when necessary.
  • Ensure all required shipping documents are received promptly once cargo on board and update the system.
  • Verify completed ISF files are submitted by shippers promptly to avoid late-filing penalties.
  • Review Arrival Notices upon receipt and request corrections from the forwarder/carriers when necessary.
  • Ensure telex release or Sea Waybill are in place at least 2 weeks before vessel arrival.
  • Coordinate with internal teams and couriers on sample shipments for international shows and projects promptly.
  • Create Sales Orders for customer shipments and coordinate the freight movement with the sales and warehouse teams, including key clients.
  • Verify all outbound loads meet customer requirements, including skid and carton count, labelling, pallet size, and the shipping documents to the driver.
  • Perform pre-shipment checks by reviewing pick lists, cartoon/skid labels, packing slips, and Bills of Lading to ensure full compliance with customer specifications.
  • Confirm cargo readiness for next-days pickup appointments, ensuring all shipping documents, labels, and markings are accurate and complete.
  • Proactively resolve issues arising during the shipping process and coordinate with truckers to ensure scheduled pickups are completed.
  • Identify and implement solutions to operational challenges to maintain efficient and uninterrupted workflow.


Let's Talk About You:


  • 2+ years of experience in logistics, transportation, import/export operations, supply chain, or a related field
  • Experience monitoring shipment status and resolving transportation or operational issues.
  • Experience working with freight forwarders, ocean carriers, customs brokers, and trucking providers.
  • Associate or bachelors degree in a relevant field: supply chain, Logistics, Business.
  • Strong organizational skills with exceptional attention to detail.
  • Effective communication and interpersonal abilities for collaborating with internal and external partners.
  • Proficiency in logistics systems and Microsoft Office Suite, SAP.
  • Solid understanding of shipping regulations, documentation requirements, and compliance standards.
