The Egg Donor Inventory Coordinator plays a vital role in managing the egg donor inventory by managing the end-to-end data tracking and logistical coordination of egg inventory, ensuring accurate system entry, internal shipment approvals, and seamless communication with external clients.
The Egg Donor Inventory Coordinator role is responsible for the daily activities of administration, customer service and coordination of shipping for egg inventory. The Egg Inventory Coordinator is responsible for accurate and compliant entry of inventory data in the relevant data systems, coordinating shipping schedules, and supporting logistic operations. The Egg Donor Inventory Coordinator ensures egg inventory shipping documentation and communications, both internally and externally, are clear, accurate, and timely.
Responsibilities
  • Monitors inventory production and delivers weekly and monthly inventory shipment plans according to fulfillment needs.
  • Collaborates with internal teams to ensure inventory items are approved for shipment to centralized storage, and coordinates directly with external clients to manage outbound inventory logistics.
  • Responsible for comprehensive inventory entry in relevant inventory management system, including but not limited to creation of donor record, creating inventory lines, posting inventory lines, and reconciling digital inventory records to ensure data accuracy. Identifies and investigates discrepancies to ensure integrity of saleable inventory.
  • Performs routine reconciliation of inventory across internal databases and physical storage records to ensure consistency, accuracy, and audit readiness.
  • Complies with all regulatory, quality assurance, quality control, and standard operating procedures.
  • Supports research of import and export requirements for relevant jurisdictions, and works with Regulatory, Quality, Legal, Biorepository departments to comply with appropriate shipping requirements.
  • Answers phone calls, emails, and other inquiries from clients or clinics, quickly accurately, and professionally with personal attention to their needs.
  • Escalates abnormal or non-compliant inventory records for review by manager or appropriate department lead for further review. Thoroughly document determination in appropriate CRM.
  • Completes nonconformances and deviations in events management system and communicates with relevant department to resolve issues. Responsible for independently entering, investigating and resolving events, escalating to management if appropriate.
  • Supports investigations of quality events and completes documentation for appropriate inventory disposition.
  • Provides input and recommendations for continuous improvement and cost effectiveness.
  • Provides supports for ad hoc shipment requests of collateral and trade show materials, and assist with office maintenance, including deliveries, supply ordering, and inventory upkeep.
  • As business needs dictate, works extended hours to complete daily department goals or tasks. May include overtime.

Language Skills:
  • Ability to speak and write English; communicate effectively and professionally with donors and external contacts; read and comprehend instructions; write routine reports and correspondence; and effectively present information in one-on-one and small group situations to clients and employees.
