Job Overview:

This position will work in collaboration with dealer credit and dealer audit with a primary focus of providing superior service to our MB dealer customers along with our internal and external customers while ensuring incoming requests and floorplan maintenance adhere to credit rules in order to mitigate risk.

Responsibilities:

The primary functions of a Wholesale Operations Administrator include but are not limited to:

1.  Respond to department inquiries, research and resolve discrepancies, etc.  Provide a high level of customer service support to dealers, manufacturers, dealer credit, and other departments in regards to wholesale accounts. (15%)

2.  Process Insurance change requests.  Review paperwork for completion and accurately process in Dealer Management.  (10%)

3. Assist dealer with SFPW inquiries.   Obtain appropriate dealer credit approval for overline or over advanced conditions, when required. (5%)

4.  Process daily new business; enter and review requests for completion, accuracy, and ensure request falls within approved guidelines. Initiate funding appropriate party and accurately input new business into appropriate wholesale system. Inform Accounting of any possible out of balance situations. (10%)

5.  Correctly identify incoming wholesale and dealer loan payments received via check, wire & ACH. Prepare checks daily by appropriate zone/GL for send deposit to Lockbox weekly for processing. Accurately post payments in wholesale and capital loan systems. Inform accounting of any possible out of balance situations. (5%)

6. Process new vendor requests and update existing vendor data.  Review paperwork for completion and accurately process in SharePoint. (5%)

7. Process Dealer Trade/Transfer requests.  Review paperwork for completion and accurately process in the wholesale system. (25%)

8. Review daily wholesale processing reports:

a) Compare new business and incoming payment amounts against previous day's transactions. Research and resolve any discrepancies.

b) Research and resolve credit balance and small unit balances. Refund credits to and collect small balances from appropriate parties.

c) Research and resolve unmatched cash (suspense).

d) Review duplicate financing report to determine who should pay off their line/account. Contact the appropriate party to collect the payoff. Notify dealer credit of any problems or potential dealer trouble situations.

9. Monitor insurance for wholesale dealers. Collect updated insurance certificates as existing ones expire. Analyze upon receipt to verify appropriate coverage, deductible, etc. Notify dealer credit of insufficient policy coverage. (5%)

10. Track and collect MSO's or titles for designated accounts. Review MSO's and titles for proper names, reassignment, and lien information. Release MSO's and titles in a timely manner upon full payoff. (10%)

Qualifications:

Applicants must be legally authorized to work in the U.S. at the time of application. Relocation assistance will not be provided for this position. 

This position requires a minimum of 2 years of overall work experience. Preferred experience includes:

  • Accounting: 1 year

  • Business-General: 1 year

  • Customer Service: 2

Education:

High School Diploma/(GED) is required, Bachelor's Degree is preferred. Recommended majors include:

  • Finance

  • Accounting

  • Business Administration

  • Finance

Additional Knowledge:

  • 1 year of Payment Posting/Processing or Accounting experience preferred.
