Position Summary

The Payment Processor is responsible for the accurate and timely processing of incoming payments, including lockbox and non-lockbox receipts, bank deposits, and reconciliation activities. This role serves as a key point of contact for payment-related troubleshooting and works cross-functionally with internal departments and clients to ensure smooth billing and payment operations.

Key Responsibilities
  • Troubleshoot and resolve payment posting issues in a timely and accurate manner
  • Record non-lockbox payment receipts and process deposits into appropriate bank accounts Process checks using bank scanning equipment
  • Reconcile lockbox transactions against monthly bank statements to ensure accuracy
  • Consult with staff in other departments and with clients regarding billing and payment processing processes Prioritize daily workload to ensure the department consistently meets service level targets
  • Send statements via email as needed
  • Contact owners to update account information or inquire about payments Perform other duties as assigned by manager
  • Plus other work-related tasks as needed
Qualifications
  • High school diploma or equivalent required
  • 1-3 years of experience in payment processing, accounts receivable related role
  • Familiarity with lockbox processing, bank reconciliation, and remote deposit/check scanning procedures Strong attention to detail and accuracy when handling high-volume financial transactions
  • Experience with CiraNet or similar community association/property management software is a plus Effective written and verbal communication skills for cross-departmental and client-facing interactions Ability to manage competing priorities, meet deadlines, and consistently achieve service level targets Strong computer skills including Microsoft Excel
  • Ability to maintain confidentiality when handling sensitive financial and client information Customer service-oriented attitude
Physical Requirements
  • Ability to sit for prolonged periods at a desk and work on a computer.
  • Ability to occasionally stand, walk, bend, or reach as needed.
  • Ability to lift or move objects up to 10–15 pounds (e.g., files, office supplies).
