Job description

PROGRAM Manager with Veeva and MDM -

White Plains NY - Onsite 

Day-to-Day PMO Execution

• Maintain and update the integrated master program plan across all workstreams, markets, and delivery tracks.

• Own the RAID log (Risks, Actions, Issues, Decisions) actively tracking, assigning, and chasing closure on all open items.

• Prepare weekly and biweekly program status reports for the Program Lead, including milestone tracking, budget burn, and risk summaries.

• Manage program governance documentation: decision logs, action trackers, meeting minutes, and workstream health dashboards.

• Maintain the program calendar — scheduling and coordinating all recurring governance meetings, workshops, and readiness reviews.

System Integrator (SI) & Vendor Coordination

• Serve as the primary day-to-day interface with the global PMO — tracking delivery against contracted milestones and flagging slippage early.

• Review SI status reports, resource plans, and deliverable submissions; escalate gaps or concerns to the Program Lead.

• Coordinate working sessions between the SI team, Veeva Professional Services, and internal workstream leads.

• Track SOW deliverables and monitor for scope creep, resource substitution, or under delivery against committed staffing.

• Support change request evaluation — document scope changes, assess schedule impact, and prepare summaries for Program Lead review and approval.

Workstream Delivery

• Act as the coordination PM across active delivery workstreams: Vault CRM configuration, enterprise integration, data migration, testing/QA and change management

• Run weekly workstream check-ins — track progress, surface blockers, and ensure cross-workstream dependencies are visible and managed.

• Coordinate CRM-MDM dependency calendar: ensure HCP/HCO data readiness gates, identifier preservation milestones, and timelines are tracked and met.

• Support wave planning logistics for the phased rollout

• Coordinate testing governance: track SIT, UAT, and regression progress across Vault CRM escalate blockers and defect triage status to the Program Lead.

• Support cutover planning and hypercare coordination for each market go-live — logistics, communication timing, and stabilization tracking.

Stakeholder Coordination & Meeting Facilitation

• Facilitate key program working sessions — prepare agendas, capture decisions and actions, and distribute follow-ups promptly.

• Coordinate with workstream leads across Commercial Operations, Medical Affairs, IT Architecture, Data Governance, and regional market teams to collect updates and ensure alignment.

• Prepare steering committee materials in partnership with the Program Lead — slide packs, status summaries, and risk memos.

• Manage stakeholder communication cadence: ensure the right people receive the right information at the right time, consistent with the Program Lead''s communication strategy.

• Support the Change Management workstream lead with field readiness coordination — tracking training completion, super-user activation, and adoption KPI reporting.

Experience

• 8+ years of IT project and program management experience, including at least 2–3 years on Veeva CRM or Vault CRM implementation programs.

• Demonstrated experience as a delivery PM or PMO lead on a multi-workstream CRM or enterprise platform program — coordinating across vendors, internal teams, and business stakeholders.

• Hands-on experience tracking SI delivery: reviewing status reports, managing RAID logs, monitoring milestone progress, and escalating delivery risk.

• Experience supporting multi-wave, multi-market rollouts — coordinating localization, readiness checklists, and cross-market dependency tracking.

• Prior experience in a pharma/biotech commercial IT program involving a co-promote or alliance partnership.

• Experience working alongside or within a leading Veeva SI delivery team

• Familiarity with MDM, Snowflake and other data platforms

Vault CRM & Technical Knowledge

Strong platform familiarity is essential. This contractor will be the day-to-day counterpart to the SI delivery team and must be able to assess quality, flag gaps, and ask the right questions — without needing to be coached on Veeva basics.

• Solid working knowledge of Vault CRM architecture: objects, layouts, workflows, approvals, configuration workbook structure, and CRM data model.

• Familiarity with the Veeva commercial ecosystem: MDM data feeds (Reltio/IQVIA), Snowflake integration patterns, IC territory data (IC360), consent platforms, and Rep-Triggered Email (RTE) flows.

• Working understanding of MDM concepts: HCP/HCO data management, identifier persistence, data governance, and migration from legacy MDM platforms (e.g., Semarchy).

• Familiarity with GxP / validated environment requirements as applied to commercial CRM and MDM platforms.

• Proficiency with PMO tooling: MS Project, Smartsheet, JIRA, Confluence, or equivalent — including building and maintaining integrated program plans.
