Heating and Air Paramedics is a prominent HVAC company dedicated to delivering high-quality heating, ventilation, and air conditioning solutions to our clients. We are currently seeking a proactive and organized Service Operations Manager to join our team and play a crucial role in ensuring the efficient operation of our office and supporting our HVAC professionals.
Job Summary:
As a Service Operations Manager for Heating + Air Paramedics, you will oversee the full customer journey - from the moment an appointment is booked to the moment a sale is closed. You will be responsible for ensuring seamless communication between the office and the field, driving lead follow-through, and converting service opportunities into long-term customer relationships that grow the business.
Key Responsibilities:
  • Manage inbound calls, emails, and appointment requests, converting inquiries into booked service calls and driving lead follow-through from first contact to closed sale.
  • Coordinate daily dispatch of HVAC technicians, ensuring every job is assigned efficiently and every customer is kept informed from scheduling through completion.
  • Track open quotes and replacement opportunities identified in the field, following up with customers to guide them toward a decision.
  • Maintain accurate customer records, job histories, and service orders in ServiceTitan to support a seamless experience at every touchpoint.
  • Serve as the primary point of contact between the office and the field - relaying job details, updates, and customer information to technicians in real time.
  • Support the preparation of quotes, invoices, and service agreements, ensuring accuracy and timely delivery to customers.
  • Monitor the daily schedule and proactively adjust for cancellations, additions, or delays to maximize productivity and minimize downtime.
  • Build and maintain strong customer relationships that drive repeat business, referrals, and long-term loyalty to the brand.

Qualifications:
  • High school diploma or equivalent required; additional education or certifications in business, operations, or a related field is a plus.
  • Proven experience in a customer-facing operations, dispatch, or service coordination role - HVAC industry experience highly recommended.
  • Strong organizational skills with the ability to manage a fast-moving schedule and multiple priorities simultaneously.
  • Excellent communication skills - both written and verbal - with a professional and confident phone presence.
  • Proficiency in service management or CRM software; experience with ServiceTitan preferred.
  • Demonstrated ability to follow up on leads, track open opportunities, and support a sales process from inquiry to close.
  • Detail-oriented with a track record of maintaining accurate customer records and job documentation.
  • Self-motivated and able to work independently while collaborating effectively with technicians, management, and customers.

Pay Rate:
  • $35 per hour (highly negotiable)
  • Monday - Friday 8am-5pm
