Sugar Bowl is seeking a dependable, systems-minded problem-solver Parts & Inventory Coordinator to manage the procurement and inventory that keeps our operations running all season. Our Resort Operations department depends on seamless coordination across both vehicle fleet and lift maintenance - and this role is central to keeping our teams equipped, our inventory organized, and our equipment running.

Sugar Bowl Resort has been proudly independent for over 80 years and is one of the oldest ski resorts in California. Situated atop beautiful Donner Summit, Sugar Bowl has a storied past with ties to Austrian ski culture, Hollywood and Walt Disney. This special community helped bring skiing to "sunny California" since December 1939. Since then, it continues to attract adventurous winter sports enthusiasts alike.

Who You Are:

Previous experience in parts and inventory management, including computerized record-keeping and purchase order processing

Understanding of basic equipment repair and maintenance principles; experience supporting both vehicle fleet and mechanical/lift systems is a plus

Proficiency in Microsoft Word, Excel, and Outlook; ability to learn and effectively utilize Sugar Bowl's maintenance software

Strong organizational skills with a self-starter attitude and the ability to independently set and manage priorities across multiple departments

Energetic, friendly, and outgoing professional with excellent interpersonal and communication skills

Ability to work effectively in a high-stress, fast-paced, and frequently changing environment

Valid driver's license with a clean driving record

What You'll do:

Reporting directly to the Director of Fleet & Roads, you will own the full lifecycle of parts and inventory for both the Vehicle Fleet and Lift Maintenance departments. Your key responsibilities include:

Procurement & Vendor Management

Procure and manage parts, supplies, oils, and fuels for vehicle and lift maintenance operations at the lowest possible cost and in a timely manner

Partner with vendors to negotiate the best pricing and quality available for all inventory items

Coordinate delivery logistics to and from suppliers as needed

Inventory & Facilities

Maintain clean, organized, and accurate physical inventory across parts rooms, oil rooms, and supply storage areas for both departments

Manage and maintain fuel and fluid stock levels to ensure operational continuity across vehicle and lift operations

Keep shop perimeters, and shared spaces organized, secure, and ready for use

Systems & Documentation

Administer Sugar Bowl's computerized maintenance management program for both departments, including generating purchase orders, tracking orders, receiving deliveries, and coding invoices

Work with department managers to ensure all work orders are accurately documented and entered into maintenance software

Maintain daily documentation in accordance with accepted accounting procedures

Regularly review equipment checkout sheets; ensure work orders are completed and parts are ordered promptly

Administer Sugar Bowl's computerized time keeping system to ensure staff time keeping is up to date accurate and meets payroll deadlines.

Compliance & Safety

Ensure compliance with all applicable County, State, and Federal regulations governing ski resort maintenance facility operations.

Oversee hazardous waste programs, including proper handling of tires, batteries, oil, and oil filters

Maintain a safe work environment at all times

Cross-Departmental Support

Assist mechanics and lift technicians with sourcing parts, equipment manuals, and specialty tools

Source contract services for the repair and maintenance of building facilities

Support budgeting and forecasting for parts and inventory purchasing needs across both departments

Deliver excellent customer service to all guests, staff, and colleagues

Physical Requirements:

Must be comfortable working in extreme outdoor conditions, including cold temperatures, high wind, snow, and ice

Regularly lift, carry, and maneuver items up to 50 lbs

Perform snow shoveling and other manual labor tasks as operationally required

Confident driving in very adverse mountainous conditions, including icy and snow-covered roads

Traverse resort terrain and access maintenance facilities in winter conditions

Stand, walk, bend, and work in confined or physically challenging spaces for extended periods
