Job description

Position Overview

The Property Manager is responsible for the overall operations, financial performance and physical condition of the property. This role oversees all onsite staff, including administrative and maintenance personnel, ensuring the community operates efficiently, meets budget goals, and provides excellent customer service to residents and prospects. The Property Manager serves as the primary liaison between onsite operations, ownership and the Director of Property Management.

Essential Job Functions

  • Supervise and lead the onsite team, including the maintenance staff
  • Lead team meetings to communicate property goals, review occupancy and financial performance and address upcoming tasks or issues
  • Foster a collaborative environment that promotes communication between office and maintenance staff
  • Provide coaching, performance feedback and training to support employee development
  • Maintain an organized, professional and productive work environment
  • Keep open communication with the Director, Property Management regarding property performance and operational updates
  • Conduct routine property walks with the maintenance team to evaluate the condition of the property
  • Inspect for cleanliness, landscaping, lighting, safety concerns, signage and overall curb appeal
  • Review vacant units, model units, and make-ready progress during walks to ensure readiness and presentation standards are met
  • Log all inspection findings, follow up on outstanding items, and create work orders in AppFolio
  • Use these walks to train and engage staff, reinforce attention to detail, and identify operational or maintenance issues early
  • Develop, monitor and manage the property’s annual operating budget in coordination with the Director of Property Management
  • Track and control expenses to remain within budgeted goals
  • Review financial and occupancy reports weekly to monitor trends and performance
  • Approve purchase orders, invoices, and vendor contracts in accordance with company guidelines
  • Ensure rent collections, deposits, and delinquency follow-up are completed timely
  • Review and approve all move-in and renewal audits in AppFolio before submission
  • Maintain accurate and organized resident and property files for compliance and audit readiness
  • Review availability, pricing and marketing strategies regularly to maintain strong occupancy
  • Approve all new lease files, renewal offers and concessions
  • Ensure all advertising materials, online listings, and signage are current and aligned with branding standards
  • Plan and coordinate monthly resident events to foster community engagement and improve resident retention
  • Handle escalated resident concerns and lease violations in a professional and timely manner
  • Conduct follow-up after major maintenance repairs or complaints to ensure resolution
  • Maintain property safety by ensuring adequate lighting, clear walkways, and compliance with OSHA standards
  • Ensure compliance with Fair Housing, ADA and all applicable state and local regulations

Preferred Qualifications

  • Minimum 3–5 years of property management experience, including supervisory responsibility
  • Strong leadership, communication, and organizational skills
  • Proficiency in AppFolio and Microsoft Office (Word, Excel, Outlook)
  • Sound understanding of Fair Housing laws and landlord-tenant regulations
  • Proven ability to manage budgets, staff, and multiple priorities effectively
  • Ability to work flexible hours, including some weekends or evenings, as required
