Job description

The law firm of Marshall Dennehey seeks a full time Litigation Support Specialist with 3-5 years of experience for its Philadelphia, PA office.
Position Summary:
The Litigation Support Specialist plays a crucial role in providing administrative and operational support to legal teams within the firm. This position involves assisting lawyers and legal professionals with various tasks, including document preparation, case management, and client communication. The Litigation Support Specialist must possess strong organizational skills, attention to detail, and a solid understanding of legal terminology and procedures. The Litigation Support Specialist position has a minimal billing requirement of 50 hours or less. In addition to working with the attorneys, the Litigation Support Specialist may take on assignments from the paralegal assigned to their work group.
RESPONSIBILITIES:
Document Preparation: Draft, review, and proofread legal documents, including pleadings, and correspondence, ensuring accuracy and adherence to formatting guidelines.
Case Management: Assist in managing files and legal databases, such as medical record subpoena charts, organizing documents, maintaining electronic and physical files, and tracking deadlines and court appearances.
Client Communication: Communicate with clients, opposing counsel, and experts to schedule appointments, relay messages, and provide updates on case status as directed by attorneys.
Case Related Fact Investigation at the direction of the attorney and/or paralegal.
Administrative Support: Provide administrative assistance to legal professionals, including managing calendars, scheduling meetings, preparing expense reports, and handling incoming calls and correspondence. With the ability to re-assign these tasks for the administrative assistant and/or project assistant on their team.
Billing and Timekeeping: Record billable hours and assist in facilitating processing of vendor invoices.
Court Filings: At the direction of the attorneys, prepare and file legal documents with courts.
Guideline Compliance: Assist in ensuring compliance with all client guidelines.
Technology Support: Utilize legal software and technology tools for document management, e-discovery, and case tracking, providing technical support to legal staff as needed.
Team Collaboration: Collaborate with attorneys, paralegals, and other legal support staff to facilitate efficient workflow and effective communication within the legal department.
REQUIRED SKILLS:
  • Excellent communication skills, both verbal and written.
  • Ability to prioritize tasks, manage multiple deadlines, and work effectively under pressure.
  • Attention to detail and high level of accuracy in all work tasks.
  • Discretion and respect for confidentiality of sensitive information.
  • Proficiency in Microsoft Office Suite and legal software applications.
  • Strong knowledge of legal terminology, procedures, and documentation.

EDUCATION AND EXPERIENCE:
  • Bachelor's degree in Legal Studies, Paralegal Studies, Business Administration or related field preferred or 3-5 years administrative law firm experience.
