Position Overview:


We are seeking a detail-oriented, operationally sharp Program Coordinator to join our team. This role is responsible for daily tactical execution, digital asset management, and logistical coordination across major national client accounts and promotional fulfillment initiatives.


In this role, you will own the ground-level operational workflow—handling complex data management, moving digital production files, entering system orders, and safeguarding strict time-sensitive Service Level Agreements (SLAs). Serving as a central operational hub, you will coordinate seamlessly between internal senior leadership and key external manufacturing, printing, and distribution partners to ensure 100% data accuracy and timeline compliance.


Key Responsibilities


Order Management & ERP: Write and process program orders (Facilis/Syncore) for print, assets, and shipping. Compile production workflows from estimate to job closure and generate final invoices with complete COGS, freight, and fees.

Data Validation & SLAs: Review client portal data on weekly/monthly cadences. Maintain a strict 2-hour approval window to prevent shipping delays and resolve complex data issues directly with client directors.

Logistics & Inventory: Generate packing lists, BOLs, and specifications for 3PL partners. Track multi-warehouse SKU levels, manage UPC setups, forecast replenishment with a 10% safety buffer, oversee sample kit distribution, and sync cross-vendor transit data.

Asset & Production Operations: Manage print asset pipelines between project software (Wrike) and production FTPs. Track proofs for timely approval and collect finished asset imagery for final sign-offs.

Tracking & Account Accountability: Maintain live weekly status dashboards and internal cost sheets. Monitor daily multi-program milestones and serve as primary contact for order discrepancies and rapid replacement shipping.

 

Qualifications & Skills


  • Experience: 2–4 years of experience in project coordination, account management operations, supply chain, or print fulfillment logistics.
  • Systems Tech-Stack:
  • Project Management: Wrike (or similar platforms like Asana, Monday, or Basecamp).
  • ERP/Order Entry: Facilis, Syncore, or similar inventory/order entry software.
  • File Management: FTP client management.
  • Data & Spreadsheet Literacy: Advanced proficiency in Microsoft Excel or Google Sheets (managing complex master tracking sheets, multi-column data sheets, and data validation).
  • SLA Discipline: Exceptional time-management skills with a proven track record of operating successfully under high-pressure, strict turnaround windows.
  • Communication: Clear, concise, and professional communication skills tailored for syncing multiple external corporate vendors and client-side leaders.
  • Attention to Detail: Near-flawless accuracy in data entry and asset proofing; experience in print proofing or SKU/inventory management is highly preferred.
