Position Title: Record Specialist
Department: Registrar's Office
Supervisor: University Registrar
Status: Temporary, PT, Non-exempt

Job Summary
The Record Specialist at Bushnell University reports directly to the University Registrar. The Record Specialist processes daily functions crucial to the Registrar's Office including, but not limited to, processing transcripts for Portage, providing daily work backup and assistance on digitization projects for Assistant Registrars II and III. The Record Specialist must demonstrate a strong desire and ability to serve students, faculty, and staff in advancing the mission of the University to foster wisdom, faith, and service through excellent academic programs within a Christ-centered community.
Essential position functions
  • Process Portage Learning requests including importing new student information and grades and delivering transcripts;
  • Assist Assistant Registrar II with digitization of paper records project;
  • Backup daily functions of student record and academic data management, including but not limited to;
    • FERPA permission requests;
    • Address changes;
    • Name changes;
    • Emergency contact information forms;
    • Major/minor changes;
    • Registration changes;
    • Graduation date changes;
    • Waitlist processing;
    • Academic deadline petitions;
    • Enrollment Verifications; and
    • Withdraws from the university.
  • Maintain course sections under direction from Assistant Registrar III;
  • Report enrollment and graduate data to National Student Clearinghouse regularly; and
  • Participate in Commencement coordination and execution.
Experience and Qualification Requirements
  • Bachelor's degree required, preferably in an area of higher education management and leadership.
  • Familiarity with the University's current Student Information System (Jenzabar) preferred.
  • High attention to detail and ability to work independently are required.
  • Candidate must be actively engaged in a Christian congregation and able to identify with and support the Bushnell Theological Context for Community statement.
  • Professional experience in an institution of higher education is highly desirable, along with evidence of assuming increasing responsibilities.
  • Ability to utilize Windows and Microsoft based software including, Word, Excel, PowerPoint, Teams, etc.
  • Ability to work within the parameters of the Family Educational Rights and Privacy Act of 1974 (FERPA).
  • Experience utilizing e-mail for the purposes of organizational communications.

  • This position may require lifting up to 25 lbs., as well as bending, stooping, and kneeling.
