Job description

Join a high-performing, collaborative team where your attention to detail helps providers get licensed, placed, and caring for patients nationwide.

 

The Licensing Specialist is part of the Hayes Locums Medical Support Staff (MSS) team and plays a critical role in supporting provider placements by managing the healthcare licensing process for physicians and advanced practice providers nationwide. This position serves as a liaison between providers, state licensing boards, and internal teams to facilitate timely license issuance, maintain regulatory compliance, and support successful provider onboarding.

This role requires strong attention to detail, organization, communication, and problem-solving skills in a fast-paced environment. Research activities may include communication with licensing boards, regulatory agencies, healthcare organizations, and providers through phone, email, fax, and written correspondence. Success in this role is measured by licensing accuracy, productivity, provider satisfaction, regulatory compliance, and timely completion of licensing requirements that support provider start dates.

This position provides exposure to healthcare licensing, regulatory compliance, provider onboarding, and healthcare operations, with opportunities for professional development and career growth within Hayes Locums.

What You Will Do

Serve as the primary liaison between providers, state licensing boards, and internal stakeholders throughout the licensing process

Assess state licensing requirements, interpret application requirements, and facilitate timely application completion

Conduct research and primary source verification of healthcare practitioner information

Maintain regular communication with providers regarding licensing status, requirements, and application progress

Partner with internal operations, credentialing, and medical staff services teams to ensure timely completion of licensing requirements

Collaborate with licensing boards, regulatory agencies, and other stakeholders to facilitate application processing, resolve delays, and support timely licensure

Research and assist in resolving licensing-related issues affecting provider placements

Monitor application status and proactively follow up on outstanding requirements

Help ensure providers obtain appropriate licensure before assignment start dates

Comply with operating policies and procedures including the facilitation of license requests and use of company resources

Maintain accurate records and documentation within company systems

Maintain confidentiality of provider information and adhere to company policies and regulatory requirements

Perform other duties as assigned

Work Schedule

Your regular work schedule will be 8:00 a.m. to 5:00 p.m. or 9:00 a.m. to 6:00 p.m., Monday through Friday, including a one-hour unpaid lunch break each day, for a regular 40-hour work week. Hayes Locums offers schedule flexibility for this position based on business needs and team coverage requirements

Eligible for one remote workday per week following successful completion of a 90-day training period, subject to maintaining good standing and manager approval.

 

Compensation

This position offers a base pay of $25.48 per hour. Based on a regular schedule of 40 hours per week, this equates to an estimated annualized compensation of $52,998, assuming full-time employment for 52 weeks per year. Because this is a non-exempt hourly role, actual earnings may vary based on hours worked. Compensation is paid semi-monthly in accordance with the Company's regular payroll practices.

In addition to base pay, Licensing Specialists are eligible to participate in a monthly performance-based incentive program. Incentives are designed to reward both productivity and quality outcomes, including the successful completion of provider licensing activities, achievement of performance standards, and maintenance of accuracy and compliance expectations. Incentive payments are based on the prior month's performance and are paid in accordance with the Company's regular payroll practices.

 

Qualifications

Bachelor's degree preferred in Health Administration, Healthcare Management, Business, or a related field. An associate degree combined with relevant experience may be considered in lieu of a bachelor's degree.

2+ years of administrative, licensing, credentialing, healthcare operations, or comparable professional experience required.

Strong computer, typing, data entry, and research skills, including proficiency with Microsoft 365 products (Excel, Word, Outlook, and PowerPoint).

Highly organized in managing one's schedule, duties, workflows, and responsibilities.

Attention to detail and strong written and verbal communication skills.

Ability to organize and prioritize work and manage multiple priorities.

Proofreading skills sufficient for auditing documents.

Problem-solving, critical thinking, and deductive reasoning skills.

Ability to identify critical information within verification and licensing documents.

Ability to maintain production and quality standards, confidentiality, and professionalism when handling sensitive information.

Bonus Points If You Have

Experience with CRM, licensing, credentialing, provider management, or applicant tracking systems (Salesforce, MD-Staff, or similar platforms).

Experience in healthcare administration, licensing, credentialing, customer service, operations support, or a similar compliance-based role.

NAMSS Certification (National Association Medical Staff Services) is a plus.
