Job SummaryThe Administrative Assistant I performs a broad range of administrative duties in support of the Dean and the Library Administration Office. This position requires mature judgment, discretion, and strong organizational skills to support the daily academic and administrative operations of the Library. The role serves as a key liaison between the Dean's office and internal stakeholders, and provides backup support to the Office Coordinator on purchasing-related tasks and space/room reservations.
Responsibilities Administrative Support - 45% - Routes and resolves a range of administrative inquiries and operational issues on behalf of the Dean and Associate Directors.
- Coordinates all phases of faculty and staff searches, including scheduling, candidate communications, and hiring process administration.
- Provides administrative support for academic functions, including internal promotion and tenure tracking.
- Enters and maintains course data in Banner and flags courses for SRIS administration.
- Supports personnel programs and related documentation in accordance with university policies.
Files Management - 5% - Organizes and maintains personnel, travel, and other administrative files in accordance with records management standards.
- Ensures files are current, accurate, and readily accessible to authorized staff.
Scheduling & Correspondence - 5% - Schedules and coordinates meetings, appointments, and travel arrangements for the Dean.
- Composes, edits, and distributes correspondence, memoranda, and meeting minutes.
- Coordinates scheduling and communications with candidates during faculty and staff search processes.
- Assists with new employee on-boarding logistics and orientation activities.
Budget Administration - 15% - Collaborate with the Office Coordinator to manage the Library's travel and professional development budget.
- Assists in administering non-book-related foundation accounts, ensuring accurate tracking and appropriate use of funds.
- Provides backup support for purchasing-related tasks as needed.
Liaison & Coordination - 20% - Serves as a primary liaison between the Dean's office, Associate Directors, and the Library Executive Session.
- Supports a broad range of administrative, curricular, and co-curricular activities requiring cross-functional collaboration.
- Facilitates timely communication and follow-through on action items arising from leadership meetings and initiatives.
Other Duties - 5% - Performs other duties as assigned.
Student Supervision - 5% - Participates in the recruitment and hiring of student assistants in coordination with other staff members.
- Supervises, trains, and provides day-to-day guidance to student assistant employees.
Required QualificationsEducational Requirements High school diploma or GED equivalent
Required Experience 1-2 years of experience
Preferred QualificationsPreferred Educational Qualifications Associate degree
Preferred Experience Three to five years of related experience; or an equivalent combination of education and experience.
Experience with Microsoft Office, including Outlook, Excel, and Teams.
Proposed SalaryThis position is a pay grade 5. The minimum salary is $30,828.00 . Starting salary within this range is based on relevant years of experience.
