Position Details

  • Title: Personal Assistant / House Manager
  • Type: 1099 Contract
  • Location: Hybrid: Remote and in-person in Atlanta, GA (preference for candidates local to Buckhead)
  • Hours: approximately 5-15 hours per week
  • Compensation: $20-$30 per hour (based on experience)
  • Reports To: Chief Development & Executive Officer


Position Overview

The Personal Assistant / House Manager is a highly organized, resourceful, trustworthy, and proactive professional who provides comprehensive support across family life, executive responsibilities, residential property management, communication management, and personal and business logistics. This role serves as a central point of coordination for a busy family and entrepreneurial lifestyle, creating systems that simplify and integrate personal and professional commitments.


The ideal candidate brings strong communication skills, proactive problem solving, technology proficiency, an eye for quality and design, and the ability to build repeatable processes that create structure, efficiency, and margin.


This role supports a single parent and business owner with three children: two local children ages 12 and 16 who split time between households, and a 20-year-old full-time college student at the University of Georgia. Responsibilities include coordination of active family schedules, school, sports, activities, travel, logistics, and communication across a dynamic but local family structure. The role also supports multiple residences, active real estate projects, business relationships, and a broader family footprint extending from Atlanta to Coweta County and Auburn, Alabama.


Core Responsibilities


Family & Executive Support

  • Manage family and business calendar integration, scheduling, reminders, and logistics.
  • Coordinate children's activities, school schedules, sports, appointments, transportation, and family commitments.
  • Assist with travel planning, reservations, itineraries, and family/business trips.
  • Manage gifting, special occasions, events, holidays, and personal relationship touchpoints.
  • Assist with household purchasing, sourcing, returns, errands, and general life administration.
  • Support meal planning, grocery coordination, meal prep solutions, and household routines.
  • Develop systems to improve communication, organization, planning, and balance between family and business commitments.


Executive Communication, CRM & Relationship Management

  • Assist with management and organization of executive communication channels, priorities, follow-ups, and relationship touchpoints.
  • Maintain CRM systems, including HubSpot, to support business development, professional relationships, personal network management, and follow-through.
  • Capture meeting notes, action items, commitments, and next steps to ensure accountability and execution.
  • Assist with email organization, contact management, introductions, reminders, and communication workflows.
  • Coordinate with internal business teams to ensure information, tasks, and commitments transition effectively from conversation to execution.
  • Support use of AI tools, automation, and technology platforms to improve executive effectiveness and reduce administrative burden.


Household & Property Management

  • Oversee household operations across multiple residences, including the primary Atlanta residence and country property in Coweta County.
  • Coordinate vendors, trades, maintenance, repairs, cleaning, landscaping, technology, utilities, and service providers.
  • Manage vendor performance, scheduling, documentation, invoices, and payment workflow.
  • Assist with residential improvement projects, furnishings, organization, and design-related initiatives.
  • Support management of properties under development as well as stabilized family-use properties.
  • Engage professionally with contractors and vendors associated with an active real estate and construction portfolio.
  • Airbnb, hospitality, guest experience, promotional, or short-term rental management experience is a plus.


Business & Administrative Coordination

  • Interface professionally with the broader business team, family office resources, accounting support, contractors, consultants, and professional advisors.
  • Assist with mail processing, document management, digital filing, and administrative organization.
  • Support light bookkeeping, expense tracking, approvals, vendor payments, and transactional activities in coordination with remote accounting resources.
  • Handle sensitive personal, financial, business, client, and family information with a high degree of discretion.
  • Maintain and improve password management, technology platforms, and organizational systems.


Technology, Systems & Communication

  • Demonstrate strong proficiency with calendar platforms, shared documents, CRM platforms (HubSpot preferred), task management tools, password managers, AI tools, and modern productivity applications.
  • Identify and implement technology solutions that streamline personal and professional workflows.
  • Create repeatable processes, checklists, documentation, and organizational structures.
  • Bring solutions and improvements rather than simply completing assigned tasks.
  • Maintain proactive communication with clear updates, priorities, and follow-through.


Creative / Lifestyle Support

  • A strong sense of style, quality, hospitality, and design orientation is preferred. Experience or interest in interior design, real estate, construction, property management, hospitality, event planning, and social media / content creation is highly valued. Additional opportunities include:

  • Ability to maintain strict confidentiality and handle sensitive personal, financial, and business information.

  • Reliable transportation and the ability to run errands and coordinate across multiple local properties.


Preferred Qualifications

  • Experience supporting executives, entrepreneurs, small business owners, families, or family offices.
  • Experience with CRM platforms, particularly HubSpot.
  • Familiarity with password managers, AI tools, and workflow automation.
  • Light bookkeeping and expense-tracking experience.
  • Interest or experience in interior design, real estate, construction, property management, hospitality, or event planning.
  • Airbnb, hospitality, guest experience, or short-term rental management experience.
  • Photography, social media, and content-creation skills.
  • Local to the Buckhead / 30327 area.
