Job description

Office Manager (West Chester, PA)

Taylor’s Music Store is a family-oriented, full-line modern music store offering sales, service, rentals, and lessons and has been in business over 95 years. Taylor’s is seeking a full-time Office Manager. This permanent, full-time Office Manager position will perform general administrative tasks and basic ledger account entries in an in-person, office environment Monday through Friday.

Job Duties and Responsibilities

Core duties and responsibilities include the following. Other duties may be assigned.

Customer / School / Vendor Account Management

· Accounts Payable: Reconcile and process vendor payments, store utilities, credit card payments

· Accounts Receivable: monitors customer and vendor accounts for payments and makes deposits

· Monitor and make payments for financed and credit line accounts

Accounting and Tax Processing

· Reconciles monthly bank statements and credit card statements, makes deposits, monitors bank balances and initiates transfers

· Pays monthly sales tax and other monthly and/or quarterly taxes with appropriate ledger entries

· Completes Month-end and Year-End closing procedures

· Processes 1099 Tax forms

General Administration

· Distributes all incoming mail

· Orders store supplies and maintains store copier

· Maintains all records and contracts per PCI Compliance guidelines

Supervisory

· Supervise full time Lessons Manager and part time Rental Administrator to ensure all job responsibilities are met

· Cross train as necessary to cover for office absences

Abilities and Skills

· Familiar with all facets of bookkeeping, knowledge of basic accounting principles, and ability to perform basic accounting and ledger entry transactions

· Proficiency with computers and Microsoft Office programs, including Excel, Word, and Outlook

· Excellent written and oral communication skills

· Highly organized and detail oriented with a drive for a high level of accuracy

· Good interpersonal skills with ability to work with sales staff, management, vendors, and customers

· Familiar with using computer-based Point of Sale (POS) programs preferred

· Must exhibit confidentiality practices when working with sensitive information

· Ability to multi-task and prioritize competing tasks and projects in a fast-paced environment

Job Requirements

· Minimum High School diploma

· Associates and/or college degree a plus

· 5 or more years relevant work experience, including basic accounting

Additional Requirements

· Ability to ascend / descend a flight of stairs

· Be able to lift up to 10 pounds
