Legal Technical Records Specialist - Admin Office
Full-time (40 hours) - $65,000 annually
The Idaho State Public Defender (SPD) provides holistic legal representation meeting the highest ethical and professional standards to protect the rights of people who cannot afford to retain counsel. The SPD is responsible for all indigent defense cases throughout the State of Idaho, including both juveniles and adults.

SPECIAL NOTIFICATION: This position is a non-classified position and is exempt from classified state service and the rules of the Division of Human Resources and the Idaho Personnel Commission.
POSITION & RESPONSIBILITIES
The Legal Technical Records Specialist provides technical and administrative support within a legal environment to ensure the accuracy, integrity, and compliance of legal records, documentation, and legal billing. This role is responsible for managing case records, interpreting legal information, ensuring adherence to policies and procedures, and providing guidance to staff and external stakeholders. The position requires a strong understanding of the Idaho Court System, preferably Idaho Courts and Criminal Defense; knowledge of legal ethical billing; strong analytical skills; sound judgment; and the ability to work independently in a fast-paced, detail-oriented environment.
This is a non-classified position that reports to the Operations Director or their designee.
Example of Duties
  • Maintain, update, and audit legal records, billing entries, case records, and documentation to ensure completeness and compliance with Agency policies and ethical standards;
  • Interpret and apply relevant laws, regulations, and program requirements to internal processes and external inquiries;
  • Research and analyze information from multiple sources to resolve discrepancies, identify issues, and ensure legal and ethical accuracy;
  • Provide professional correspondence within the agency and with external stakeholders related to agency policies, procedures and respond to complex questions;
  • Prepare, proofread, and process legal correspondence, reports, and case data;
  • Enter, retrieve, and verify data in our Case Management System;
  • Assist with the implementation of procedures to improve record-keeping accuracy;
  • Communicate clearly and professionally with individuals from diverse backgrounds, often in sensitive or stressful situations;
  • Utilize the Internet and personal computer technology, including Microsoft Word, Excel, LexisNexis, and other computer software and online databases;
  • Enter and review data in the Case Management System (CMS) according to CMS guidelines;
  • Maintain confidentiality of client information and adhering to ethical standards; and
  • Other duties as assigned.
MINIMUM QUALIFICATIONS
  • Background or familiarity with legal office workflow, case management systems, or specialized regulatory programs.
  • Experience monitoring and maintaining legal record systems, identifying errors, and ensuring data integrity.
  • Ability to interpret policies.
  • Experience conducting research and analyzing information to resolve problems or discrepancies.
  • Ability to work effectively with diverse individuals in sensitive or high-pressure situations.
  • Ability to compose, edit, and proofread business correspondence.
  • Experience using computerized databases or case-management systems to enter and retrieve information.
Preferred Qualifications
  • Experience using Excel spreadsheets and word-processing software.
  • Experience reviewing legal and financial-related records.
  • Experience handling sensitive or confidential information.
  • Ability to read complex information related to court records and data.
  • A strong understanding of the Idaho court system, preferably criminal defense.
