This role offers the opportunity to become the first point of contact for individuals seeking legal support, creating a meaningful impact from the very first conversation.
You will combine client service, communication, and consultative skills to understand callers' needs, qualify opportunities, and connect them with the right legal resources.
The position requires empathy, professionalism, and strong attention to detail when managing sensitive personal situations.
Working remotely, you will collaborate with legal professionals while contributing directly to client experience and business growth.
You will play a key role in improving conversion processes, maintaining accurate records, and ensuring every potential client receives a high-quality interaction.

Accountabilities:

As a Legal Intake Specialist, you will manage inbound client inquiries, assess potential cases, and ensure a smooth transition from initial contact to scheduled consultation. You will be responsible for delivering excellent client experiences while supporting operational efficiency and growth objectives.

  • Handle inbound calls from potential clients with empathy, professionalism, and active listening to create a positive first impression.
  • Qualify leads by gathering relevant information, understanding client needs, and determining suitability for available legal services.
  • Schedule consultation appointments while working toward weekly booking goals and supporting conversion targets.
  • Complete intake documentation accurately within legal CRM systems, ensuring records are complete, organized, and up to date.
  • Follow up with potential clients, answer pre-consultation questions, and maintain engagement until appointments are confirmed.
  • Manage sensitive client information with discretion, confidentiality, and a high level of professionalism.
  • Participate in regular call reviews and coaching sessions to improve communication techniques, intake quality, and conversion performance.
  • Collaborate with internal teams to ensure qualified opportunities are transferred smoothly and efficiently.
Requirements:

The ideal candidate will have experience in legal intake, client relations, or administrative roles within a law firm environment, combined with strong communication and sales-oriented skills.

  • 3-5 years of experience in legal intake, legal administration, client services, or a similar law firm-facing role.
  • Familiarity with legal CRM platforms such as Lawmatics or similar intake management tools.
  • Strong consultative communication skills with the ability to guide conversations and build trust with potential clients.
  • Excellent spoken English skills with a warm, confident, and professional communication style.
  • Ability to handle emotionally sensitive conversations with empathy, patience, and professionalism.
  • Strong attention to detail and accuracy when completing documentation and managing client information.
  • Self-motivated, reliable, and comfortable working independently in a remote environment.
  • Ability to work toward performance targets and thrive in a results-driven setting.
  • Must be currently located in Europe or Latin America.
