Legal Intake Specialist

The Legal Intake Specialist plays a crucial role in the initial engagement with prospective clients, building confidence in the prospect's decision to hire the firm, and ensuring a smooth and effective onboarding process for our personal injury and workers' compensation clients. This position involves managing and responding to new inquiries, assessing injury claims, responding empathetically to emotional parties, gathering information, and signing the client. The ideal candidate will possess excellent communication skills, sales techniques, attention to detail, the ability to handle sensitive information with confidentiality and empathy, and the desire to help others and convert leads into clients. Key Responsibilities:

1. Client Interaction:

  • Serve as the first point of contact for potential clients via phone, email, or in-person
  • Provide detailed information about the services offered and answer preliminary questions
  • Screen leads for criteria
  • Manage follow-up activities
  • Attain signed agreements

2. Data Collection:

  • Gather essential client information through structured intake forms and interviews
  • Accurately enter client data into the company's database system
  • Ensure all collected information is complete and up-to-date
  • Track and measure progress toward goals
  • Assess conversion rates
  • Monitor and report KPIs

3. Scheduling and Coordination:

  • Schedule appointments and follow-up meetings for clients with relevant team members and attorneys.

4. Documentation and Record-Keeping:

  • Maintain accurate and confidential client records
  • Prepare and manage documentation required for client files
  • Ensure compliance with all legal and regulatory requirements related to client information

5. Client Service:

  • Deliver excellent client service by addressing client concerns and resolving issues promptly
  • Maintain a professional and empathetic demeanor at all times

6. Referral Partner Outreach and Communication:

  • Communicate regularly with Referral Partners
  • Develop referral relationships
  • Provide referral partners with relevant information in a timely manner

7. Administrative Support:

  • Assist with general office duties as needed
  • Support the team with special projects and other duties as assigned
  • Provide reporting to various departments including marketing and leadership

Requirements:

  • High school diploma or equivalent required; associate or bachelor's degree preferred.
  • Previous experience in customer service, administrative, education, or healthcare setting preferred.
  • Strong organizational and time management skills, with the ability to prioritize and multitask effectively.
  • Excellent verbal and written communication skills, with the ability to communicate professionally and confidently with employees and clients. Strong computer skills.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Bilingual in Spanish (preferred).
  • Willingness to work weekends.
  • Display empathy and patience when working with prospects, clients, and referral partners.

Physical Requirements:

  • Ability to perform essential job functions in compliance with ADA, FMLA, and other federal, state, and local regulations. Ability to maintain regular, punctual attendance in accordance with workplace standards.
  • Must be able to communicate clearly via phone and other mediums.
