Our premier criminal defense, immigration, and family law firm is looking to immediately add a Legal Intake Manager to our team of legal professionals. We are a top-rated and rapidly expanding law firm and are interested in a candidate who is dedicated, reliable, and looking to grow within the practice. Our main office is located near City Hall in downtown Manhattan, NYC, and we have satellite offices in Brooklyn, Queens and Nassau County. Our law firm operates as a team, with each member bringing their individual strengths and experiences to provide our clients with top-quality representation, no matter what they face. Customer service is of the utmost importance and we believe that the personal attention we give to each of our client's cases helps to ensure solutions tailored to their unique needs.We are seeking an experienced, numbers-driven Legal Intake Manager to lead our client onboarding team. In this role, you will manage the daily operations of our virtual intake department, ensuring every potential client receives a fast, empathetic, and professional response. You will directly manage intake specialists, optimize our legal CRM workflows, and track critical metrics to maximize firm growth.

Core Responsibilities

  • Team Leadership: Assist in hiring, training, schedule, and coach a remote team of legal intake specialists.
  • Triage & Screening: Oversee case screening to quickly identify and prioritize time-sensitive family law emergencies, criminal arrests, and immigration deadlines.
  • Pipeline Management: Monitor incoming leads from phone, web forms, and chat to ensure instant follow-up.
  • Quality Assurance: Review recorded calls and emails to maintain high empathy, accuracy, and legal compliance standards.
  • Data Tracking: Analyze conversion rates, response times, and cost-per-lead data to present weekly reports to management.
  • CRM Optimization: Manage and update user workflows inside our legal case management system, Lawmatics.
  • Escalation Handling: Personally handle complex client inquiries, high-value cases, or customer service issues.

Requirements & Qualifications

  • Experience: Minimum 2–3 years managing an intake or sales team, specifically inside a law firm setting.
  • Practice Area Knowledge: Background handling intake workflows for family law, criminal defense, or immigration cases is highly preferred.
  • Tech Savvy: Deep experience using legal CRMs (Lawmatics), VOIP phone systems, Slack, Zoom, Clio Manage and Google Workspace.
  • Skills: High emotional intelligence, excellent communication, conflict resolution, and motivational leadership skills
  • Must be at least 18 years of age and eligible to work in the USA
  •  Bilingual preferred
  • Up-to-date resume complete with relevant experience
