Job description

Legal Affairs Manager

The Legal Affairs Manager will support the company’s in-house legal and compliance functions by assisting with legal case management, document preparation, regulatory compliance, claims coordination, and legal department operations. We are looking for a strong legal administrator and/or corporate paralegal. This role serves as a key liaison between internal teams, outside counsel, insurers, regulatory agencies, and other business partners to help ensure legal matters are handled efficiently, accurately, and in compliance with applicable laws and company policies.

The ideal candidate is highly organized, detail-oriented, proactive, and comfortable managing multiple priorities in a fast-paced corporate environment.

Key Responsibilities:

Legal Department Support

  • Assist the company’s in-house legal and compliance teams with legal matters related to business operations and corporate interests.
  • Support attorneys with the preparation, drafting, review, and administration of legal documents, correspondence, contracts, agreements, and business forms.
  • Work with internal and external business units to collect documents, records, and business information relevant to corporate matters, legal demands, claims, or investigations.
  • Maintain and organize legal files, documentation, correspondence, and matter records to ensure information is accessible and up to date.
  • Conduct legal and business research as needed to support legal, compliance, and corporate initiatives.

Litigation and Case Management

  • Provide support with litigation matters, including case tracking, filings, document preparation, and coordination with outside counsel.
  • Oversee and track legal cases to ensure deadlines, filings, court dates, and other key milestones are met.
  • Assist with case management, including organizing pleadings, discovery materials, correspondence, exhibits, and related documentation.
  • Serve as a liaison between internal stakeholders, outside counsel, insurers, regulatory agencies, and other parties involved in legal matters.
  • Create and maintain reports that provide visibility into active legal matters, litigation status, risks, deadlines, and outcomes.

Compliance and Corporate Matters

  • Maintain records related to compliance, risk management, insurance policies, and related legal documentation.
  • Support legal due diligence for mergers and acquisitions, including document review, organization, and tracking.

Claims and Risk Management Support

  • Assist in managing cargo, liability, and other claims by gathering relevant documentation and coordinating with claims adjusters, insurers, legal representatives, and internal stakeholders.
  • Maintain accurate claims records and support reporting related to risk, insurance, and claims activity.
  • Help monitor claims-related legal matters to ensure timely follow-up, documentation, and resolution.

Operational Efficiency and Process Improvement

  • Develop, implement, and maintain legal department procedures to improve workflow, case tracking, document management, and matter administration.
  • Identify opportunities to streamline legal operations, improve reporting, and enhance collaboration between the legal department and other business units.
  • Support the development of tools, templates, processes, and systems that improve legal department efficiency and consistency.

Required Qualifications

  • Bachelor’s degree in Legal Studies, Business, or a related field.
  • Minimum of 5 years of experience in management, support, legal operations, corporate legal support, or a related role.
  • Excellent organizational and project management skills, with strong attention to detail and the ability to manage multiple deadlines.
  • Strong written and verbal communication skills and an ability to work collaboratively with attorneys, executives, HR, operations, outside counsel, insurers, regulatory agencies, and other stakeholders.
  • Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Experience improving department workflows, reporting, templates, or case management processes.
  • Experience using legal research tools, case management systems, document management platforms, or related technology.

Preferred Qualifications

  • Paralegal certification or other advanced legal education.
  • Experience working in a corporate legal department, law firm, or similar legal environment.
  • Strong understanding of legal procedures, case management processes, legal documentation, and compliance requirements.
  • Experience supporting litigation, employment law matters, claims management, contract administration, M&A due diligence, or compliance programs.
  • Prior experience in a highly regulated industry or transportation, logistics, insurance, or corporate services environment.
