Job Overview:
Legal Administrative Assistant executes vital support for our legal department, overseeing client intake and the precise gathering of entity data. This professional manages high-stakes IRS submissions, including Form 2553 and EIN applications, while acting as the primary connection point between the Certified Paralegal and our clients. We require a focused individual with prior office or service experience and proficiency in Google Suite who is eager to master business formation protocols and pursue a career path toward becoming a Certified Paralegal.
Key Responsibilities:
- Serve as the primary administrative liaison between the Certified Paralegal, legal team, and clients.
- Assist in working through the backlog of business formation clients and obtain necessary entity information.
- Accurately complete, prepare, and fax backlog Form 2553s (S Corporation election) to the IRS.
- Obtain Employer Identification Numbers (EINs) and draft IRS forms required for entity formation.
- Utilize the Logics system, Google Suite, and Microsoft Suite to maintain accurate client records and manage entity creation workflows.
- Maintain professional, courteous, and effective phone and written communication with clients.
- Ensure ongoing compliance and seamless execution throughout the business entity formation process.
Qualifications:
- Must be at least 18 years of age.
- Some college coursework completed or an Associate Degree required.
- 1+ year of office or customer service experience required; prior legal office experience is highly preferred.
- Proficiency with Google Suite, Microsoft Office Suite, and basic phone/office hardware.
- Ability to learn new software systems quickly (including the Logics platform).
- Strong verbal and written communication skills with a focus on professional, polite, and empathetic client service.
- Eagerness and willingness to learn business formation processes and tax administration procedures.
- Strong organizational skills with the ability to detail-orientedly manage backlogged tasks and sensitive tax filings.
